Job DetailsJob Location: Dogs Inc Main Campus - Palmetto, FL 34221The Volunteer Experience Coordinator supports the delivery of exceptional volunteer experiences across Dogs Inc volunteer programs, including campus volunteers, puppy raisers, breeder hosts, and dog hosts. Reporting to the Volunteer Experience Manager, this position coordinates volunteer communications, events, recognition, and administrative processes that strengthen volunteer engagement.
This role serves as the operational lead for many volunteer experience initiatives, ensuring volunteers receive timely information, meaningful recognition, and a consistent, high-quality experience from puppy placement through graduation and beyond. Success in this role requires exceptional organization, attention to detail, customer service skills, and the ability to manage multiple projects while maintaining a volunteer-centered approach.
RESPONSIBILITES
- Volunteer Event Planning & Coordination
Coordinate the planning and execution of volunteer events across all volunteer programs, including Freshman Orientations, Puppy Raiser Day, volunteer appreciation activities, educational workshops, conferences, and community outreach events.
Develop event timelines, coordinate logistics, manage registrations, prepare materials, and ensure all event details are executed effectively.
Coordinate vendors, supplies, facility needs, and event resources as required.
Recruit, schedule, and coordinate volunteers supporting event operations.
Assist with event setup, execution, and breakdown while troubleshooting issues to ensure a positive volunteer experience.
Collect post-event feedback and assist in evaluating outcomes to improve future events.
- Administrative Support
Coordinate volunteer-facing materials that support puppy placements, including placement flyers and puppy raiser biographies, and other placement resources.
Coordinate Placement Zoom meetings
Maintain and manage 90-day puppy raiser contact information and coordinate follow-up communications.
Ensure placement materials are accurate, current, and delivered in a timely manner.
- Volunteer Recognition Support
Coordinate spay/neuter notifications and verify completion of required documentation for program puppies.
Prepare and distribute volunteer recognition materials, including placement and graduation pins for all programs.
Coordinate volunteer appreciation communications, milestone recognition, and thank-you correspondence.
Maintain volunteer records that support engagement, recognition, and retention initiatives.
- Communications & Volunteer Support
Serve as a point of contact for volunteers regarding events and volunteer experience initiatives.
Collaborate on newsletters, promotional materials, and communications that encourage volunteer engagement and participation.
Maintain standardized templates, forms, and volunteer resources to ensure clear and consistent communication.
Provide timely support and assistance to volunteers throughout their experience with Dogs Inc.
- Program Administration & Reporting
Maintain accurate records related to volunteer participation, placements, recognition, and engagement activities.
Assist in developing and maintaining standardized procedures, documentation, and administrative processes.
Prepare reports, summaries, and supporting documentation for the Volunteer Experience Manager.
Support special projects and continuous improvement initiatives that enhance the volunteer experience.

Qualifications
Passion for service dogs and a commitment to the mission of the organization.
Experience in event planning.
Strong organizational and multitasking skills, with attention to detail.
Excellent interpersonal and communication skills, both written and verbal.
Proficiency in basic office tools (e.g., Microsoft Office, PowerPoint) and ability to learn and utilize email communication software.
Ability to work flexible hours, including evenings and weekends.
Preferred, but not required
Experience in volunteer management and/or nonprofit operations.
Experience working with animal-focused or disability-focused organizations.
Familiarity with puppy raising and placement processes.
Travel Reimbursement
Submits travel reimbursement for any travel that exceeds 5 days x distance to/from work
