POSITION SUMMARY
This position coordinates Hamline's student employment program as part of the university's commitment to career preparation, post-graduation readiness, and student success. Student employment at Hamline represents a significant opportunity for students to learn and practice professional responsibilities such as professionalism, communication, goal-setting, and teamwork in a work environment. Additionally, on-campus student employment allows the campus community to benefit from the insights and innovations of the student perspective.
The Coordinator supports students, supervisors, and campus partners by maintaining clear procedures, strengthening supervisor resources, supporting Handshake use, and helping students connect campus employment to career readiness.
The role works with on-campus and approved off-campus partners and handles confidential student information in accordance with FERPA and institutional expectations.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
• Establish and maintain student employment procedures, including position descriptions, student learning outcomes, and evaluation or feedback processes.
• Provide training and assistance with Handshake postings, student employment advertising, job fair preparation, and related recruitment activities.
• Support supervisors with student hiring materials, applicant review guidance, and routing information to the appropriate campus offices.
• Coordinate with Financial Aid and Student Payroll on work-study and non-work-study communication, award usage, payroll timelines, and student employment records.
• Work with Student Payroll and supervisors to help resolve student payroll questions, including missing or incomplete time entries, time-clock issues, and related follow-up, while routing payroll processing decisions to Student Payroll.
• Develop supervisor resources and student professional development aligned with National Association of Colleges and Employers career competencies.
• Help student employees reflect on and articulate the skills, knowledge, and workplace habits gained through student employment.
• Liaise with Undergraduate Admissions, Career Development, Center for Academic Success and Achievement, Student Payroll, Financial Aid, Human Resources, and other campus offices as needed.
• Develop and maintain relationships with off-campus constituencies in support of student employment. Ensure that approved off-campus student employment roles have clear position descriptions, student learning outcomes, proper supervision, and evaluation or feedback processes.
General:
• Provide excellent student-centered customer service.
• Use Google Suite, Word, and Excel to prepare communications, templates, mail merges, tracking documents, and other correspondence.
• Maintain student employment files, guides, process materials, and program records.
Additional Responsibilities:
• Comply with FERPA and institutional confidentiality expectations.
• Perform other duties as assigned that are reasonably related to student employment, student success, program coordination, and supervisor support.
REPORTING RELATIONSHIPS
This position reports to: Associate Provost for Student Success
This position does not supervise regular employees. The position may provide day-to-day task direction to student workers assigned to related administrative projects.
BUDGET MANAGEMENT RESPONSIBILITIES

Budget Range: This position is not responsible for managing a budget. The role may support communication related to work-study award usage and student employment spending in partnership with Financial Aid, Student Payroll, and campus departments.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES, AND KEY COMPETENCIES

MINIMUM EDUCATION/EXPERIENCE/EXPECTATIONS
• Bachelor's Degree from an accredited college or university.
• Two (2) or more years of professional experience in student affairs, career services, financial aid, higher education administration, employment services, program coordination, or a directly related field.
• Experience maintaining confidential records and communicating procedures to multiple audiences.
PREFERRED EDUCATION/EXPERIENCE/EXPECTATIONS
• Two (2) or more years of professional experience in higher education working with confidential student information.
• Experience with student employment, career development, financial aid, student services, Handshake, Workday, or comparable systems.
• Familiarity with work-study programs, student employment practices, student payroll processes, training, advising, or supervisor support.

Salary Range for this range: $47,000- $52,000
This is a full-time, exempt, 1.0 FTE position that requires 40 hours a week, 12 months a year.
Primary work location is Hamline University's Saint Paul campus.
