At the Boys & Girls Clubs of Northeast Indiana, we believe every young person deserves the opportunity to reach their full potential. As a Program Manager, you will lead one of our six core program areas under the direction of the Vice President of Programming —Education & Career Development, Character & Leadership Development, Health & Life Skills, The Arts, Sports, Fitness & Recreation, or STEM—to create engaging, high-quality experiences that inspire youth to learn, grow, and succeed.

This role is ideal for someone who is passionate about youth development, enjoys collaborating with others, and is committed to continuous improvement. Program Managers serve as subject matter experts for their assigned program area while ensuring programs are engaging, impactful, and aligned with Boys & Girls Clubs of America standards.


Job Purpose:

The Program Manager supports the mission of the Boys & Girls Clubs of Northeast Indiana by assisting the VP of Programming in the planning, coordination, and continuous improvement of programs within an assigned program pillar. Under the direction of the VP of Programming, this position is responsible for the daily implementation, coordination, and monitoring of assigned programs, ensuring high-quality youth experiences that advance our priority outcomes of Academic Success, Good Character & Citizenship, and Healthy Lifestyles. The Program Manager models the organization's core values of Integrity, Respect, Accountability, Excellence, and Inclusion while delivering engaging, impactful programming. 

  

PROGRAM IMPLEMENTATION: 

1. Plan, organize and implement day-to-day program curriculum and activities with members in accordance with established Boys and Girls Clubs of Northeast Indiana standards and goals.

2. Ensure that members are encouraged to participate in a variety of program areas/activities and receive instruction and constructive feedback to develop skills in program area(s).

3. Ensure quality improvement by monitoring and evaluating program achievement against target goals, recommending modifications that respond to member needs and interests.

4. Provide member guidance and mentoring to help them fulfill and make appropriate choices about their educational, personal, physical, social, emotional, vocational and spiritual needs. 

5. Provide structured activities for large and small groups of students to facilitate positive youth development experience.

6. Assist in the planning and organizing of the Program activities which may include academic education and activities, games, arts & crafts, music, exercise & recreation, social skills development, independent living skills, and other developmental activities according to the Programs schedule.

7. Incorporate fun into all areas.

  

PROGRAMS PROFICIENCY:

1. Demonstrate proficiency in the implementation of Club programs by actively participating alongside members, providing guidance and mentorship, and delivering curriculum with fidelity. Members should demonstrate a strong understanding of program concepts, as evidenced by positive survey results and their ability to confidently explain the purpose and impact of the programs.

2. Cultivate and maintain program-specific partnerships by coordinating presenters, field trips, and community experiences while preparing staff (YDPs) and youth to maximize engagement and learning outcomes

3. Collect and submit program data, surveys, and required documentation to Director in accordance with grant requirements, ensuring accuracy and timely completion of all grant reporting deadlines.

4. Be willing to bring new ideas and take on new challenges with youth.

5. Complete initial on-the-job training and periodic refresher trainings and evaluations as required.

6. Recognize youth on a daily and weekly basis for growth and accomplishments.

7. Show proficiency in the way you interact with members to resolve conflict and de-escalate behaviors.

8. Demonstrate effective communication (speaking and active listening) skills when interacting with members and staff.

9. Demonstrate effectiveness in building trust and rapport with members and staff 

10. Ensure a productive work environment by maintaining an inventory of all program curriculum, equipment and supplies located in your direct program spaces. 

MANAGEMENT RESPONSIBILITIES:

1. Coach, train and manage assigned volunteers and staff; provide ongoing feedback; and identify and support development opportunities as needed and as instructed by VP of Programming.

2. Provide coaching, performance management, and corrective action as needed; conduct investigations and complete required documentation for submission to Human Resources in accordance with organizational policies and procedures.

3. Maintain close, daily contact with all Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/ instructions; instruct; and advise/counsel.

4. Maintain contact with external community groups, schools, members' parents and others to assist in resolving problems.

5. Ensure the evaluation of Club programs on a continual basis and ensures programs/activities respond to member needs and address their gender and cultural diversity. 

6. Increase visibility of Club programs via posting of daily schedule, announcements of upcoming events and the dissemination of timely information for the development of advertising and promotion through mailings and/or flyers (as approved of by VP of Programs and Marketing Department).

7. Support special programs and/or events (i.e. Keystone, Youth of the Year and Awards Programs), and/or participate in the implementation of other program activities as necessary and as instructed by VP of Programming.

  

ADMINISTRATION: REPORTING, DOCUMENTATION, MEETINGS

1. Report any suspected abuse ASAP to your Direct Supervisor. 

2. Complete required program, operations and administrative documentation and reports as specified in policies and procedures and as directed. These must be complete, correct, accurate and on-time.

3. Provide other administrative paperwork, reports and information in a timely manner as required or requested by Human Resources or BGCFW Management.

4. Participate in member supervision meetings, staff training, team meetings, monthly all-staff meetings and other staff meetings as required.

5. Attend trainings and workshops as required or necessary. Make a positive contribution to the team. 

6. Check email daily and respond to all time sensitive information in a timely manner.   

  

DRIVING BGCFW VEHICLES:

1. May be required to drive Club van.

2. You must have a current Indiana driver's license.

3. Follow the BGCFW Drivers Guide at all times.

4. Ensure that all occupants in the vehicle wear seatbelts at all times and that they are secured before moving the vehicle.

5. Ensure that the vehicle is safe to drive before moving it.

6. Ensure that the vehicle is clean inside and outside and that all glass has clear visibility for safety.

7. You must not operate any BGCFW vehicle if under the influence of alcohol, illegal drugs or any other mind-altering substances including prescription medicine.

8. You must not text in the vehicle while it is moving or stopped at a traffic light or stop sign.

Requirements

SKILLS/KNOWLEDGE REQUIRED:

1. Bachelor's degree preferred in related field

2. Minimum of five years’ experience in planning and implementing youth programs.

3. Knowledge of diversity, equity, inclusion, and culturally responsive programming.

4. Knowledge of trauma-informed care and behavior management strategies

5. Ability to motivate youth and build relationships.

6. Ability to train and motivate staff.

7. Ability to plan and implement quality programs for youth.

8. Strong organizational and time management skills.

9. Ability to adapt to changing organizational priorities and community needs.

10. Ability to prioritize competing deadlines while maintaining attention to detail.

11. Maintain professional self-control under all circumstances, including the awareness and ability to remove yourself from a situation when personal objectivity is lost.

12. Demonstrate ability to effectively analyze situations, grasp problems, draw reliable conclusions, and take appropriate action without waiting for direction.
