Position Summary:
The Senior Administrative Specialist independently runs the Facility Scale Office with minimal supervision. Activities performed are categorized into the following five sub-areas: processing incoming loads; customer service and business liaison; financial, reporting and record keeping; and administrative assistance. This position handles, on average, 100-200 daily transactions including charge accounts, credit cards, and cash transactions. This position also provides simultaneous customer service and extensive administrative assistance to the operations manager and accounting specialist.
Examples of Work Performed:
The following duties are typical of this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required or assigned.
Balance cash /credit card receipts for three separate on-site facilities (landfills, recycling program, household hazardous waste) with reports daily and reconcile any discrepancies; discuss requirements with customers if denied credit account - explain departmental policies and procedures related to customer credit accounts and inform them of the payment amount required to reactivate their account.
Act as receptionist - counter and telephone.
Tracks 30+ different waste categories; charge to account or accept payment via cash or credit card and produce invoice/receipt.
Receive dozens of calls daily from the public and greet dozens of public and commercial customer visitors daily.
Weigh vehicles using scale software; screen loads for unacceptable materials by driver interview or visual inspection.
Remain current on asbestos identification training; direct customer to appropriate dumping location based on type of material.
Answer questions regarding site hours and rules, how to properly dispose of various types of materials, etc.
Remain current in policy and regulation changes; remain current in alternatives for disposal of banned items; answer inquiries from the public as well as various city, town, and village officials regarding waste disposal or refer to the appropriate authority; assist with complaints from customers; assist customers that may be unfamiliar with our scale system.
Maintain and establish reporting and record keeping systems, produce reports and process records; and provide administrative and operational support.
Associate’s degree in business, accounting, environmental engineering, environmental science or other related and/or applicable field. Three years of increasingly complex and responsible experience, preferably in a small business environment and/or an environment with numerous customer accounts. Any equivalent combination of training and experience may be substituted.
Must have a current WDNR certification as Site Operator per WI Admin. Code NR524 Solid Waste Disposal Facility Operator Program OR must obtain within 24 months of hire.
Knowledge, Skills, and Abilities:
Working knowledge of Windows OS in a PC environment
Internet navigation and research; informational research, analysis, and synthesis; arithmetic aptitude; professional business communications; efficiency analysis and process improvement; customer service skills
Ability to establish and maintain effective relationships with the public, industrial customers, government officials, media reps, sales reps, vendors and contractors; policy, guideline, and regulation interpretation; organizational skills
Ability to multi-task in a fast-paced work environment
