At Fenix Outdoor, we are looking for an organized, approachable Office Coordinator to help create that kind of workplace. You will be at the center of our Louisville office, supporting day-to-day operations, welcoming teammates and visitors, partnering with vendors, and helping our leadership team stay prepared and connected.
This is a role for someone who enjoys bringing order to moving parts, balancing hospitality with sound judgment, and taking pride in the thoughtful details that make a shared workplace feel cared for. From managing supplies and coordinating meetings to helping plan team events, your work will help our people stay focused on the brands, products, and outdoor experiences we are here to support.
WHAT YOU WILL DO
As our office Coordinator, you will help create a welcoming, well-organized, and productive office environment while providing thoughtful administrative support to our senior leadership team.
Office Operations & Hospitality
Keep daily office operations running smoothly, from shared spaces and supplies to communication across teams
Serve as a welcoming primary point of contact for internal teams, visitors, clients, and vendors
Manage office inventory and supplies with an eye toward cost, quality, and day-to-day needs
Partner with the cleaning team and internal departments to help keep the café and common areas organized, comfortable, and ready for use
Help resolve office-related questions and concerns with care, professionalism, and appropriate follow-through
Executive & Meeting Support
Provide administrative support to senior leadership, including calendar management, meeting coordination, and occasional travel arrangements
Prepare meeting materials, presentations, expense reports, and internal documents with care and attention to detail
Coordinate agendas, document meeting notes, and help track action items so important work continues moving forward
Bring a proactive, solutions-oriented approach to the changing needs of a busy leadership team
Budget, Vendors, & Facilities
Support office budget tracking, invoice processing, expense reporting, and supply purchasing activities
Build positive, reliable relationships with office vendors and service partners
Balance operational needs with thoughtful cost management and sound business judgment
Help maintain clear, accurate records that support smooth office operations and financial clarity
Culture, Events & Connection
Partner with leadership to support team-building activities and employee engagement initiatives
Plan and coordinate company events, including logistics, budgets, vendor communication, materials, and onsite support
Help create an office culture rooted in respect, collaboration, care, and a shared sense of purpose
