About the Role
An exciting opportunity exists for an experienced Administration Officer to join the Barbara Walker Centre for Pain Management (BWCPM) at St Vincent’s Hospital Melbourne. Working as part of a well-established administration team, you will provide high-quality administrative and reception support to patients, clinicians and other members of the multidisciplinary team. This is a varied and busy role where you will be an important first point of contact for patients accessing the service. You will be supported by an experienced administration team, with on-the-job training provided to help you succeed in the role. You will provide a broad range of administrative support to the department in accordance with the policies, procedures and values of St Vincent’s Health.
Key responsibilities include:
Welcome and assist patients attending the Barbara Walker Centre for Pain Management.
Provide professional, compassionate and efficient reception services.
Respond to patient enquiries in person and over the phone with empathy and professionalism.
Coordinate appointment bookings and manage patient waiting lists.
Accurately enter and maintain patient information across multiple data management systems.
Complete Medicare billing and reconciliation processes.
Provide general administrative support to clinical and support staff.
Maintain an organised and welcoming reception environment.
Work collaboratively with the broader administration and multidisciplinary teams.
Report to the Administration Team Leader.
Classification: HS2–HS21 ($66,768.00 –$73,811.92 per annum).
Your Contribution

Year 12 or equivalent levels of numeracy and literacy.
Previous experience working in reception or administration within a busy and complex environment.
Strong computer literacy and confidence working across multiple systems.
Excellent communication and interpersonal skills.
A professional telephone manner and a compassionate approach to patient care.
Strong organisational skills with the ability to prioritise and manage multiple tasks.
Excellent attention to detail and accuracy.
The ability to work collaboratively as part of a busy team.
A current National Criminal History Check, or willingness to obtain one.
Desirable:
Previous experience working within a healthcare environment.
Knowledge of medical terminology.
Previous experience with Medicare billing and reconciliation.

About the Barbara Walker Centre for Pain Management
The Barbara Walker Centre for Pain Management (BWCPM) is a multidisciplinary service providing specialist assessment and treatment for people experiencing persistent pain. Our interdisciplinary team brings together Medical and Allied Health professionals to address the medical, physical and psychosocial factors that can contribute to persistent pain and its impact on everyday life. The Centre supports a diverse range of patients from across Victoria, including those with complex healthcare needs, and provides treatment through both individual and group-based programs. BWCPM is accredited as a Tier 1 ANZCA Faculty of Pain Medicine training centre and forms part of the Health Independence Programs (HIP) at St Vincent’s Hospital Melbourne.
