The Union Benefits Auditor is responsible for conducting detailed audits and reconciliations of union benefit records, employee eligibility data, monthly invoices, and benefit-related transactions to ensure accuracy, compliance, and adherence to applicable Collective Bargaining Agreements (CBAs). This position reviews data across multiple union and internal systems, identifies discrepancies, investigates variances, and works collaboratively with Human Resources, Payroll, Finance, Operations, and union benefit providers to resolve issues. The ideal candidate is highly analytical, detail-oriented, organized, and comfortable working with large volumes of employee and financial data. The position requires the ability to interpret CBA language, perform complex reconciliations, meet strict deadlines, and identify trends or inconsistencies that may impact benefit costs or employee eligibility. Strong Excel skills and experience working with HRIS, payroll, union, or benefits data are required. Bilingual Spanish preferred. KEY QUALIFICATIONS • Minimum of 3 years of experience in benefits, HRIS, payroll, auditing, accounting, or a related analytical function. • Strong knowledge of union benefits, employee eligibility, and benefit reconciliation processes. • Ability to interpret and apply Collective Bargaining Agreement (CBA) provisions. • Strong analytical and problem-solving skills with exceptional attention to detail. • Advanced proficiency in Microsoft Excel, including sorting, filtering, formulas, pivot tables, and data reconciliation. • Experience working with HRIS, payroll, benefits, or union databases. • Ability to analyze large data sets and identify discrepancies, trends, and potential compliance issues. • Excellent organizational and time-management skills with the ability to manage multiple priorities and strict deadlines. • Strong written and verbal communication skills. • Ability to maintain confidentiality when handling employee, payroll, and benefits information. • Bilingual Spanish preferred.
JOB RESPONSIBILITIES • Union Benefits Auditing & Reconciliation • Conduct regular audits of employee union benefit records across multiple union databases and internal HR/payroll systems. • Reconcile union membership and benefit records against the company’s master employee roster and payroll records to identify discrepancies in eligibility, enrollment, status, and deductions. • Audit monthly union benefit invoices for Pension, Training, Health & Welfare, Vision/Dental, Dues, and Trust contributions. • Validate invoice calculations against applicable rates, eligibility requirements, and Collective Bargaining Agreement (CBA) provisions. • Perform monthly roster reconciliations and investigate changes in employee status, eligibility, contributions, and benefit participation. • Analyze month-over-month changes in union rosters and benefit costs and provide detailed variance analysis to Operations, Human Resources, Payroll, and Finance. • Identify overpayments, underpayments, duplicate charges, missing employees, incorrect rates, and other discrepancies. • Research and document audit findings and coordinate corrective actions with appropriate internal departments and external union benefit administrators. • Maintain detailed audit records, supporting documentation, reconciliation schedules, and resolution tracking. • Become familiar with CBA contract language for the various unions under the organization and apply contractual requirements when conducting audits. • Monitor union benefit data for compliance with contractual requirements and internal policies. • Assist with union-related inquiries by researching employee records, eligibility, contributions, and benefit discrepancies. • Perform ad hoc union benefit audits and special projects as assigned. • Benefits & Vendor Auditing • Perform monthly reconciliations of company benefit invoices for Medical, Dental, Life, STD/LTD, and 401(k) plans. • Compare vendor invoices and enrollment records against HRIS and payroll data to validate employee eligibility and coverage. • Audit benefit vendor systems to ensure employee information, coverage levels, effective dates, and status changes are accurate and timely. • Identify and investigate discrepancies between payroll deductions, HRIS records, vendor enrollment data, and invoices. • Review employee benefit changes and ensure corresponding payroll and vendor records are properly updated. • Assist with audits related to COBRA administration and employee eligibility. • Review benefit claims and related issues as needed and coordinate with insurance providers and benefit vendors to resolve discrepancies. • Support annual Open Enrollment and retirement plan audits by validating employee elections, eligibility, and enrollment data. • Assist with compliance reviews and required benefit communications related to ERISA, FMLA, Medicare, COBRA, and other applicable regulations. • Maintain documentation supporting benefit audits and compliance activities. • Perform ad hoc benefits audits and other analytical projects as assigned. • Employee Data & Verification Audits • Review employment verification requests and supporting employee data for accuracy and completeness. • Audit information provided for housing, mortgage, real estate, financial institution, government, and other agency requests. • Review government and state requests involving child support, welfare, National Medical Support Notices, wage verification, and termination verification. • Audit unemployment claims and related employment information for accuracy and timely processing. • Review claims and verification requests to ensure responses are accurate and submitted within applicable state deadlines. • Identify discrepancies in employee records and coordinate corrections with Human Resources, Payroll, and other appropriate departments. • Complete ad hoc employee data audits and verification requests as needed.
Reporting & Data Analysis • Prepare recurring and ad hoc reports related to union benefits, employee eligibility, benefit costs, payroll deductions, and audit findings. • Perform ACA, EEO, census, and other compliance-related data reviews and reporting support. • Develop Excel-based reconciliation tools, audit schedules, and variance reports. • Analyze workforce and benefit data to identify trends, inconsistencies, and potential financial or compliance risks. • Provide management with summaries of audit results, identified discrepancies, financial impacts, and recommended corrective actions. • Maintain accurate audit documentation and reporting records.
Compliance & Process Improvement • Monitor benefit and union records for compliance with applicable CBAs, company policies, and regulatory requirements. • Assist in developing and maintaining audit procedures, checklists, reconciliation processes, and standard operating procedures. • Recommend process improvements to strengthen data accuracy, reduce errors, improve reconciliation efficiency, and minimize financial risk. • Partner with HR, Payroll, Finance, Operations, IT, union representatives, and external benefit vendors to resolve audit findings. • Maintain confidentiality and exercise sound judgment when handling sensitive employee, payroll, benefits, and financial information. • Perform other duties and special projects as assigned.
