Job Summary
The Human Resources Generalist is responsible for overseeing employee medical leave processes, Job Duty Profiles (JDPs), attendance administration, and attendance-related disciplinary actions. This position also provides employee relations support, conducts workplace investigations, and assists with disciplinary processes and HR compliance. The role requires strong organization, consistent follow-through, sound judgment, and the ability to handle sensitive employee matters professionally and confidentially.
Duties and Responsibilities
Medical Leaves and JDP Administration
Oversee and coordinate employee medical leaves from initial notification through return to work.
Serve as the primary HR contact for employees and supervisors regarding medical leave procedures, required documentation, deadlines, and return-to-work requirements.
Track employees who are absent due to medical conditions and ensure they receive timely information regarding available leave options.
Coordinate with employees, supervisors, HR leadership, and third-party leave administrators regarding leave status and required follow-up.
Oversee the JDP process and ensure employees and supervisors receive the appropriate forms and instructions.
Review completed JDP documentation and coordinate work restrictions, accommodations, and return-to-work requirements with HR leadership and operational management.
Maintain accurate and confidential records related to medical leaves, JDPs, restrictions, certifications, and return-to-work documentation.
Monitor leave usage, deadlines, and employee status to ensure timely follow-up and compliance with company procedures and applicable laws.
Ensure employees are not permitted to return to work without the required documentation or clearance.
Attendance and Disciplinary Administration
Review employee attendance records regularly to identify attendance occurrences, patterns, and potential policy violations.
Verify absences against approved leave, paid time off, call-out records, and other available documentation before issuing discipline.
Prepare attendance-related disciplinary actions accurately and within established timelines.
Coordinate with supervisors and managers to ensure attendance disciplines are delivered consistently and promptly.
Maintain accurate attendance notes, discipline records, and supporting documentation.
Respond to employee and supervisor questions regarding attendance policies, occurrences, and disciplinary steps.
Assist with attendance grievances, investigations, and disputes by gathering and reviewing relevant records.
Ensure attendance policies and progressive discipline procedures are applied consistently.
Employee Relations
Serve as a resource for employees and supervisors regarding workplace concerns, attendance matters, leave procedures, and HR policies.
Assist in resolving employee relations issues through fact gathering and coordination with HR leadership.
Provide guidance to employees and supervisors regarding company policies and workplace procedures.
Support disciplinary meetings, employee coaching, and other employee relations discussions.
Workplace Investigations
Conduct intake meetings related to employee complaints and workplace concerns.
Gather relevant information, including witness statements, attendance records, emails, and other supporting documentation.
Conduct interviews with employees and witnesses regarding workplace incidents.
Document investigation findings and prepare clear, factual summaries for review by HR leadership.
Assist with disciplinary meetings and employee relations discussions resulting from investigations.
Compliance and Documentation
Maintain documentation related to medical leaves, JDPs, attendance, investigations, disciplinary actions, and other compliance matters.
Ensure employee records are complete, accurate, confidential, and filed appropriately.
Assist with ensuring HR policies and procedures are followed consistently.
Support HR leadership with compliance documentation, audits, and recordkeeping.
Maintain knowledge of applicable employment laws and company procedures related to leave, attendance, employee relations, and workplace investigations.
HR Coordination
Coordinate communication among employees, supervisors, operational management, leave administrators, and HR leadership.
Assist with employee training and policy communication initiatives.
Support HR projects and HR program implementation.
Provide back-up support for other HR functions as needed.
Additional Responsibilities
Maintain strict confidentiality of employee, medical, and company information.
Exercise professional judgment when handling sensitive workplace matters.
Assist HR leadership with HR projects and initiatives.
Perform other duties as assigned.
Required Skills and Abilities

Proficiency with Microsoft Office Suite, HR information systems, attendance systems, and leave-tracking systems.
Bilingual Spanish and English required.
Education and Experience
Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
Equivalent HR experience may substitute for a degree.
Minimum of two to four years of Human Resources experience required
Experience administering medical leaves, JDPs, attendance, and disciplinary processes strongly preferred.
Experience in employee relations or workplace investigations preferred.
HR certification, such as SHRM-CP or PHR, is a plus.
Physical Requirements
Prolonged periods of sitting and working at a computer.
Frequent walking throughout office and warehouse environments.
Ability to access operational departments within the facility.
Occasional lifting of items weighing up to 15 pounds.
