LOCATION: Care Point Health & Wellness
TYPE OF POSITION: Full-time (Monday-Friday 8:00 a.m. to 5:00 p.m.)
GENERAL FUNCTION: The Clinical Services Manager (CSM) is a licensed clinical leader responsible for the day-to-day clinical operations of Care Point Health & Wellness. Working in close partnership with the Chief Medical Officer, the CSM translates clinical standards into consistent practice by developing, implementing, monitoring, and continuously improving clinical protocols, policies, procedures, workflows, and staff competencies. The CSM leads non-provider clinical staff, promotes safe and efficient patient care, supports clinical quality and regulatory compliance, and coordinates closely with the Office Manager to ensure seamless integration between clinical and front-office operations. This position is intentionally clinical-facing and does not directly supervise reception or other front-office personnel.
JOB RESPONSIBILITIES
Clinical Leadership & Practice Standards
Partner with the Chief Medical Officer to develop, implement, maintain, and periodically review clinical policies, protocols, procedures, standing workflows, and clinical standards of practice.
Translate clinical policies and provider expectations into clear, standardized workflows for medical assistants, nursing staff, x-ray personnel, care coordination staff, and other assigned clinical support personnel.
Identify gaps or variation in clinical processes and lead corrective workflow redesign, staff education, and follow-through.
Maintain current clinical procedure resources and ensure staff understand and consistently follow approved processes.
Support implementation of new clinical services, programs, equipment, and evidence-based practices in partnership with the Chief Medical Officer and other clinical leaders.
Daily Clinical Operations & Patient Flow
Coordinate daily clinical operations to support safe, timely patient flow and efficient provider schedules.
Assign medical assistants and other clinical support staff to providers and clinical duties based on patient volume, acuity, staffing, and operational need.
Monitor exam and procedure room utilization, room turnover, clinical readiness, and provider support throughout the day.
Lead or coordinate daily clinical huddles with providers and clinical support staff to identify priorities, high-risk or complex patients, staffing needs, and anticipated barriers.
Serve as the primary clinical operations point-of-contact for real-time workflow issues and escalate medical or provider-level concerns to the Chief Medical Officer as appropriate.
Coordinate with the Office Manager on schedule changes, patient flow concerns, registration issues, transportation needs, and other matters that cross front- and back-office functions.
Clinical Staff Leadership & Competency
Directly supervise, coach, and evaluate assigned non-provider clinical staff, including medical assistants, nursing personnel, x-ray staff, and other designated clinical support roles.
Develop clinical staff schedules and coverage plans to ensure appropriate staffing during clinic hours.
Conduct onboarding, orientation, competency validation, and ongoing training for clinical support staff.
Monitor performance, documentation quality, adherence to scope of practice, and compliance with established clinical protocols.
Provide timely coaching and corrective guidance in coordination with Human Resources and leadership when performance or conduct concerns arise.
Promote a collaborative, accountable, patient-centered clinical culture.
Quality, Safety & Regulatory Compliance
Partner with the Chief Medical Officer to implement and monitor clinical quality improvement initiatives, patient safety activities, and performance measures.
Monitor adherence to infection prevention and control standards, bloodborne pathogen requirements, medication and vaccine handling processes, emergency preparedness procedures, and applicable OSHA, AHCA, CDC, and other regulatory requirements.
Support clinical audits, chart reviews, incident follow-up, corrective action plans, and regulatory or accreditation readiness activities.
Monitor compliance with HIPAA, patient confidentiality, documentation standards, and organizational clinical policies.
Track clinical quality, workflow, and operational indicators; identify trends and recommend improvement strategies to leadership.
Oversee clinical inventory processes for medical supplies, medications, vaccines, instruments, and equipment, including appropriate storage, expiration monitoring, and par levels.
Ensure clinical equipment is maintained, calibrated, serviced, and available for safe use as required.
Evaluate supply utilization and recommend cost-conscious practices that do not compromise quality or patient safety.
Coordinate clinical purchasing needs with appropriate administrative and finance personnel within approved budgets.
Clinical Documentation, Revenue Support & Care Coordination
Support accurate and timely clinical documentation and charge capture by reinforcing workflows with providers and clinical support staff; escalate systemic concerns to appropriate leadership.
Collaborate with billing, finance, and administrative staff when clinical documentation or workflow issues affect coding, claims, prior authorization, or reimbursement.
Coordinate with the Office Manager/Referral Coordinator on referrals, prior authorizations, DME, patient access barriers, and other processes requiring both clinical and administrative follow-through.
Ensure clinical staff complete assigned tasks, results management, orders, and other follow-up activities within established standards.
Communication & Interdepartmental Coordination
Serve as the principal operational liaison between the Chief Medical Officer, providers, clinical support staff, and administrative leadership for clinical operations.
Maintain a strong working partnership with the Office Manager, with clear shared accountability for handoffs between reception/front-office functions and clinical care.
Participate in leadership, provider, quality, and operational meetings as assigned.
Communicate changes in clinical protocols, workflows, staffing, or regulatory requirements clearly and consistently to affected team members.
QUALIFICATIONS:
Minimum Qualifications
Active, unrestricted Florida LPN or RN license required; RN preferred.
Minimum 3–5 years of clinical experience in an outpatient, ambulatory, primary care, or comparable clinical setting.
Minimum 1–2 years of supervisory, charge nurse, clinical lead, or other healthcare leadership experience.
Demonstrated experience implementing clinical workflows, policies, procedures, staff training, and quality or compliance initiatives.
Strong knowledge of clinical workflows, medical terminology, medication safety, infection prevention, scope-of-practice principles, and healthcare regulations.
Current BLS certification required.
Proficiency with electronic health record (EHR) systems and standard office software.
Strong leadership, communication, critical thinking, conflict-resolution, and organizational skills.
Preferred Qualifications
RN license and/or bachelor's degree in nursing, healthcare administration, or a related field.
Experience in primary care, infectious disease/HIV care, sexual health, population health, or other mission-driven outpatient care.
Experience with quality improvement, value-based care, PCMH, chronic care management, or population health programs.
Experience supporting both medical and dental service environments.
Work Environment and Physical Requirements
Clinical office environment requiring frequent standing, walking, bending, and occasional lifting up to 30 pounds.
Potential exposure to infectious diseases, bloodborne pathogens, and standard clinical hazards.
Standard full-time schedule with flexibility for early morning, evening, or occasional weekend coverage as operationally necessary.
Supervises
Medical assistants, nursing personnel, x-ray staff, and other designated non-provider clinical support personnel. This position does not directly supervise receptionists, the van driver, or other front-office personnel.
