Carlton Fields is seeking an Office Services Specialist for its Tallahassee office.
Job Summary & Objectives
The Office Services Specialist will work partner with the Director of Administration, overseeing the day-to-day operations of Carlton Fields office to include facilities, hospitality, local technology support, and office services. This position plays a critical role in the office and requires excellent communication skills. The Office Services Specialist is expected to take a hands-on approach to accomplish operating objectives, and to take responsibility for the overall delivery of support services.
Duties
Continually evaluates complement of services provided, service levels and quality of service. Make recommendations to improve effectiveness and efficiency.
Assist office with basic computer hardware issues, software, and network configuration, as well as audio/visual equipment set-up and troubleshooting.
Maintains a high level of customer service, including positive, professional relationships with established vendors.
Responsible for mailroom operations, ordering office supplies, conference set-ups, laptop and projector set-ups, and the supervision of office services clerks.
Serves as secondary contact to building management and monitors building maintenance.
Assists in the coordination of special event functions for firm clients, office departments, and staff upon request.
Daily internal mail delivery, courier runs and serves as backup receptionist.
All other duties assigned.
Requirements
Must possess a valid driver’s license.
Superior customer service skills required.
Strong technical skills to include knowledge of Microsoft Office Suite and other firm provided software as required. General knowledge of database functionality and willingness to become a subject matter expert for specialized software is a strong plus.
Ability to interact effectively with attorneys, legal administrative assistants, paralegals, and administrative staff.
Ability to lift 50 pounds.
Actual salaries will vary depending upon various factors, including relevant experience and skillset. The salary range listed is just one component of the Carlton Fields total compensation package for employees. Other monetary rewards include annual discretionary bonuses based on performance and profit-sharing contributions based on eligibility and firm profitability.
