They advance our mission and exemplify excellence, compassion, teamwork and purpose in all that they do.Indiana University Health is seeking individuals who embody these values to join our President Administration team in the role of Project Coordinator. This position is a full time, onsite role located downtown Indianapolis, IN.
The Project Coordinator provides high-level project management, event coordination, and strategic planning support to the President Administration and Special Events team. This role plays a vital part in launching and managing the executive and community tour program for the new hospital facility. Working onsite 5 days a week split between the current Methodist campus and the new hospital build, the Project Coordinator serves as a primary ambassador – collaborating across construction, safety, and executive leadership teams to ensure seamless event execution, guest safety, and exceptional host experiences.
Role Responsibilities
Tour Planning & Execution: Own the daily operational oversight for the new hospital tour program, including guest registration, check-in, scheduling, host assignment, and direct tour leadership.
Cross-Functional Collaboration: Partner directly with the Design & Construction (D&C) and Safety teams to ensure all tours comply fully with active site safety standards.
Tour Ambassador Program: Coordinate, assist with safety training, and support the onboarding of the Tour Ambassador team.
Executive & Stakeholder Engagement: Interact daily with executive leaders, community members, and elected officials with a high degree of diplomacy, poise, and executive presence.
Event & Project Management: Integrate tour operations into the broader Special Events strategic plan while independently troubleshooting real-time logistics, handling frequent schedule shifts, and managing late-afternoon tour windows.
Candidate Qualifications
Candidates for the position will be evaluated according to the following criteria and competencies.
Bachelor's degree in related field or equivalent years of experience required.
Clinical license and/or other certifications may be required per unit/department specialty according to patient care policies.
0-3 years of experience is required.
Experience with matrix organization and complex work environment a plus.
Experience exhibiting professional judgment and diplomacy in handling unexpected problems and frequent interruptions is required.
Requires basic proficiency in Microsoft Office (Word, PowerPoint, Excel).
