Position Overview
The Sustainability Coordinator plays a key role in managing our reclaim and warranty processes while delivering exceptional support to customers and internal teams. This role blends logistics coordination, data tracking, and customer communication to ensure we reclaim, evaluate, and compensate for recyclable materials accurately and efficiently.
The coordinator supports multiple departments—including Customer Service, Sales, Freight, and Shipping & Receiving—and works closely with the Director of Sustainability to support and enhance our environmental initiatives.

Key Responsibilities
Customer Support & Communication
Serve as a direct point of contact for customers submitting reclaim and warranty requests, ensuring timely, accurate, and professional communication.
Summarize and report reclaim and warranty activity to the Customer Service and Sales teams monthly.
Assist with administrative tasks that support a seamless customer experience, utilizing advanced proficiency in Excel for tracking, reconciliation, and report creation.
Build and maintain Excel-based dashboards and reports using formulas, pivot tables, filters, and data validation tools.
Reclaim & Warranty Management
Manage the entire lifecycle of reclaim and warranty requests, from intake through resolution.
Evaluate warranty submissions using internal tracking tools.
Reconcile recycled materials with tally sheets.
Analyze data in Excel to identify discrepancies, prepare summaries, and support accurate customer proposals.
Issue proposals to customers and vendors and coordinate proper payments to customers and recyclers.
Maintain accurate records of all transactions, communications, and documentation.
Logistics & Coordination
Schedule and manage pick-ups and deliveries for large-scale reclaim projects.
Coordinate logistics with recycling partners and internal teams to ensure timely shipments and proper handling.
Track and confirm Proof of Delivery (POD) for every shipment and maintain logs accordingly.
Leverage logistics knowledge to anticipate freight needs, support scheduling, and resolve shipment delays.
Use Excel to track shipment statuses, create visibility reports, and support freight communications.
Cross-Functional Collaboration
Work closely with Freight, Sales, Customer Service, and Shipping & Receiving to streamline reclaim workflows.
Maintain proactive, ongoing communication with recyclers, customers, and internal stakeholders.
Partner closely with the Director of Sustainability to align reclaim practices with the company’s environmental goals.
Qualifications
1–3 years of experience in customer service, logistics coordination, recycling, or a similar field; manufacturing experience a plus.
Strong organizational and tracking skills using Excel, including pivot tables, formulas, filters, charts, and data validation.
Clear, professional communication skills, both written and verbal.
High attention to detail, especially when managing data and reconciling documentation.
Comfortable using Microsoft Office; experience with CRMs, tracking apps, or databases is a plus.
Demonstrated ability to work collaboratively across departments and manage multiple tasks simultaneously.
