JOB SUMMARY
iTradeNetwork is looking for a highly organized, detail-oriented Talent Acquisition Coordinator to serve as the operational backbone of our recruiting team. Reporting to the Talent Acquisition function, you'll own the logistics that make hiring run smoothly — scheduling interviews across multiple stakeholders and time zones, maintaining data integrity in Greenhouse (our ATS), and serving as the first point of contact for candidates from initial outreach through onboarding. This role is ideal for someone who thrives on process, sweats the details, and takes pride in delivering a great candidate experience while keeping a fast-moving recruiting team on track.
Key Responsibilities:
Schedule and coordinate interviews across multiple interviewers, hiring managers, and time zones, proactively resolving calendar conflicts.
Serve as the primary administrator of Greenhouse (ATS) — including data entry, candidate status updates, requisition tracking, and pipeline hygiene.
Coordinate candidate travel arrangements, expense submissions, and reimbursements for onsite interviews.
Prepare and send offer letters, initiate background checks, and manage onboarding paperwork in partnership with HR.
Act as the first point of contact for candidates — sending confirmations, reminders, and answering logistics questions throughout the process.
Post and maintain job openings on Greenhouse, career sites, and external job boards.
Compile and organize interviewer feedback and scorecards in Greenhouse to support timely hiring decisions.
Support employer branding initiatives, including career fairs, recruiting events, and campus outreach.
Generate recruiting metrics and reports (e.g., time-to-fill, pipeline volume, source of hire) for the Talent Acquisition and People leadership teams.
Ensure all compliance documentation (EEO data, background checks, employment eligibility) is complete and accurately filed.
Partner closely with recruiters and hiring managers to continuously improve recruiting processes and candidate experience.
What you’ll need:
Required:
1–3 years of experience in a talent acquisition coordination, recruiting, HR administration, or related operational support role.
Hands-on experience with Greenhouse or a comparable ATS (e.g., Lever, Workday Recruiting, iCIMS)..
Exceptional organizational skills with the ability to manage multiple, competing priorities in a fast-paced environment.
Strong written and verbal communication skills, with a candidate-first, service-oriented approach.
High degree of discretion and professionalism when handling confidential candidate and employee information.
Comfort working across time zones and coordinating logistics with multiple stakeholders simultaneously.
Proficiency with calendar tools (e.g., Google Calendar/Outlook) and general digital literacy to quickly learn new systems.
A proactive, detail-oriented mindset with a bias for getting things done.
Nice to Have:
Prior experience supporting high-volume recruiting or hiring across multiple departments.
Experience supporting a SAAS organization or candidates with technical skillsets (software engineers, IT, etc)
Greenhouse certification(s) or formal ATS administrator training.
Experience supporting employer branding efforts such as career fairs or recruiting events.
Familiarity with background check platforms (e.g., Checkr) and pre-employment compliance requirements.
Experience generating and presenting recruiting metrics/reporting to stakeholders.
Bachelor's degree in Human Resources, Business Administration, Communications, or a related field
