Detailed Description:
This is a full-time temporary, benefit-based position with an anticipated end date of August 31, 2027. The appointment is renewable at the discretion of the University and dependent upon performance and continued funding.
The Program Manager supports both the ALSAM Bridging the Gap Support Fund Program and the Humanities Center in different capacities. The ALSAM Program provides programming in science, technology, engineering, and math (STEM) for high school students from Mater Dei and Juan Diego Catholic high schools. The Humanities Center enriches the campus community with research grants, student fellowships, public seminars and workshops, major and minor programs, a gallery for hosting exhibitions, faculty development, an adult continuing education program and much more.
This position will independently conceptualize, lead and grow all non-curricula aspects of the Bridging the Gap program to execute the ALSAM Foundation’s vision, strategizing to create new expanded partnerships with high schools, identifying and executing new and enhanced programming opportunities, and facilitating continuing support of students after they are admitted to USD. The Manager collaborates and liaises with internal and external partners including a STEM faculty advisory board, high school personnel, students and guardians, and manages the Bridging the Gap Endowment budget including strategizing to execute programming within budget and maintaining detailed records.
For the Humanities Center, this oversees the day to day center operations and provides support through coordinating and marketing events, maintaining audio visual equipment functionality for and during events, and providing front office support as assigned.
This position will work with offices on campus to coordinate activities related to the programs, including scheduling events and meetings and liaising with the College Dean’s office staff.
Duties and Responsibilities:
Operations Management
Expand Bridging the Gap to align with the ALSAM Vision by implementing a STEM faculty advisory board and liaising with external and internal partners to plan and execute program logistics and secure resources on campus.
Serve as ASLAM program leader and take ownership of the success and long-term growth of the ALSAM program
Design and spearhead new program initiatives, execute detailed logistics, and design and monitor metrics of participant and program success to report to the ALSAM Foundation annually.
Conceptualize and execute end to end program logistics and events including but not limited to holding meetings with stakeholders, reserving space, arranging meals, transportation, and other accommodations, and following through to achieve and record progression of program objectives. [include working under predetermined budget]
Use university’s expense processing systems including Concur, Workday, UniMarket, and Internal Service Deliveries to order and track purchase of supplies and services in adherence with university procedures.
Oversee day to day Humanities Center operations.
Finance, Personnel, and Risk Management
Responsible for financial oversight, including reconciliation and reporting for program-related funds
Oversee and track program budgets, expenses, and financial activity to ensure alignment with allocated resources and clear financial reporting to the ALSAM Foundation annually.
Maintain accurate financial and administrative records in accordance with university guidelines
Direct oversight of hiring process and personnel management for temporary employees and student workers
Coordinate with Human Resources and Risk Management to ensure compliance requirements, particularly for programs involving minors
Outreach & Communications
Support outreach efforts to increase program visibility and engagement through targeted outreach to high schools and community partners.
Ensure consistency in branding and messaging across communications and outreach efforts.
Represents the Humanities Center at various events which require a flexible schedule to work occasional evenings (up to 8:30pm) and/or rare weekends
Promote the program and center’s work and events by developing and distributing marketing and promotional materials across multiple platforms (e.g., email, newsletters, social media, print materials)
Maintain and update program websites and digital content
Other duties
Manage day-to-day administrative or event tasks and provide front desk reception for Humanities Center as assigned
Must be flexible to occasionally attend evening events for the Humanities Center and collaborate to ensure office coverage during the Fall and Spring semesters
Occasional weekends during the STEM Camp in the summer.
Assist with technology needed for events and meetings
Other duties as assigned
Special Conditions of Employment:
Must be available to work occasional evenings (up to 8:30pm) and rare weekends.

Minimum Qualifications:
Bachelor’s degree required
Minimum two years of related experience, at least one year of experience must be in program coordination, event planning, and/or administrative
Two or more years of experience in program coordination, event planning, budget management, and/or administrative support preferred.
Previous experience in higher education and/or a non-profit setting preferred.
