The Total Rewards Specialist supports the delivery and continuous improvement of Canadian Total Rewards programs across Compensation, Benefits, Group Savings and supporting HR integration systems. Working closely with the Compensation & Benefits Manager, this role independently coordinates and administers defined Total Rewards processes, supports annual program cycles, and provides analytical and execution support for strategic initiatives. The Specialist plays an integral role in maintaining strong day-to-day operations, supporting a consistent employee experience, and contributing to the continued evolution of the Canadian Total Rewards function.
Essential Duties & Key Responsibilities:
Administer day-to-day Canadian Benefits programs across salaried and hour bank plans, including employee onboarding, enrolment, life events, employee inquiries, system administration and implementation of approved plan changes.
Support annual benefits enrolment activities, including system updates, employee communications, enrolment support and coordination with Payroll and benefit providers.
Administer Canadian Group Savings programs, including RSP enrolment and changes, contribution processing, file uploads, employee inquiries and coordination with Payroll and plan providers.
Coordinate the administration of non-occupational leaves, including employee communications, benefits and salary continuation, HRIS updates and coordination with Payroll, insurers and HR Managers.
Support annual Compensation processes, including merit, bonus, hourly increases and salary administration, including related data preparation, validation and employee/manager communications.
Support compensation market activities, including salary survey submissions, job matching, market pricing, job evaluation and related analysis.
Prepare, analyze and validate Compensation, Benefits and Total Rewards data, including census files, reconciliations, survey submissions and other large datasets, identifying discrepancies and supporting resolution.
Provide operational support for HRIS, Benefits Administration and related Total Rewards systems through business testing, data validation, troubleshooting and issue resolution.
Partner with Payroll, HRIS, IS, HR teams and external providers to support Total Rewards administration and resolve operational issues.
Coordinate employee and manager communications, educational resources and support materials related to Total Rewards programs and annual processes.
Support audits, reconciliations and other governance activities to promote program accuracy, compliance and consistent administration.
Develop and maintain process documentation and standard operating procedures, and identify opportunities to improve processes, employee experience and operational efficiency.
Independently manage assigned processes and deliverables, identify issues and determine appropriate next steps, escalating matters requiring Manager-level judgment or decision-making.
Run Health Club Reimbursement program and coordinate submissions processing for qualified employees to receive payment.
Engage with broker and attend standing meetings to discuss employee and leadership feedback.
Contribute to Total Rewards projects, implementations and continuous improvement initiatives as required.
Stay current on market changes related to Extended Benefits, and latest regulatory developments on federal and provincial levels.
Perform other duties and responsibilities as assigned.
Qualifications:
Post-secondary education in Human Resources, Business Administration or a related field.
Minimum of five (5) years of progressive experience supporting Compensation, Benefits or Total Rewards programs.
Experience administering Canadian benefits programs, preferably including salaried and hourly or hour bank plans and supporting recurring Compensation and Benefits cycles.
Demonstrated experience with compensation surveys, market pricing, job matching, HR reporting and related analytical work.
Experience working with HRIS and benefits administration systems; experience with SuccessFactors and/or BenefitSolver is an asset.
Advanced Excel and data management skills, including experience working with large datasets, preparing census and reporting files, performing reconciliations and validating data accuracy.
Strong analytical and problem-solving skills, with exceptional attention to detail and the ability to investigate discrepancies, identify trends and determine appropriate next steps.
Strong organizational and process management skills, with the ability to independently manage multiple priorities, take ownership of assigned deliverables and meet deadlines with limited day-to-day direction.
Strong written and verbal communication skills, with the ability to communicate effectively with employees, managers and cross-functional partners.
Strong interpersonal and collaboration skills, with the ability to build effective working relationships across HR, Payroll, HRIS, IS, Finance and external partners.
Demonstrated initiative, curiosity, sound judgment and a continuous improvement mindset.
Ability to handle confidential employee and compensation information with discretion.
