We are one of the leading human services organizations in New York City and the largest Hispanic-led nonprofit in the State, serving over 150,000 individuals every year. Our programs serve individuals at every age and developmental level, from the very young through our daycare programs to mature adults through our older adults centers. Our extensive array of community-based services are fully integrated, bilingual and culturally competent.
POSITION OVERVIEW
The receptionist is responsible for providing secretarial, clerical, and administrative support to ensure that municipal services are provided in an effective and efficient manner.
KEY ESSENTIAL FUNCTIONS
Provides general operator services, and operates paging/ telephone system as required.
Provides informational services by switching all incoming calls, placing long-distance calls, providing information by phone and paging, and maintaining the message center.
Ensures that the safety and security of the facility is not jeopardized.
Responsible for ensuring that the lobby area is clean, quiet, and well-maintained at all times.
Monitors the cameras throughout the building as well as the parking lot.
Monitors clients coming in and out of the facility.
Ensures that all visitors sign in and are screened before entering the facility.
Ensures that there are no trespassers on the property.
Communicate all concerns to the appropriate staff immediately.
Performs assigned clerical duties and responsibilities.
Receives, sorts, and routes incoming correspondences to individuals and departments concerned.
Maintains a listing of emergency phone numbers of on-call personnel, departments, key personnel, etc.
Attends and participates in in-service educational classes and on-the-job training programs as directed.
Assists with administrative duties as directed, assists other departments in the administrative matter as directed.
REQUIREMENTS
High School Diploma or GED required; or AA/AS in Administration or related field preferred.
Minimum of (2) years of experience in an office setting.
Must obtain a Mandated reporter (2 hours) prior to hire date.
Intermediate use of standard Microsoft Office & Internet required.
Bilingual (Spanish/English); strongly preferred.
Ability to work on a strong team of professionals in a culturally diverse environment.
Ability to multitask and to work and function under pressure.
