4301 Rising Sun Ave, Philadelphia, PA 19140 - Opened Monday through Friday from 7:00 am to 3:30 pm or from 8:30 am to 5 pm
3265 N Front Street, Philadelphia, PA 19140 - Opening hours are Monday to Friday from 7 am to 6 PM and Saturday from 7:30 am to 4 PM

JOB SUMMARY
The Medical Assistant provides caring, professional support to clients and the healthcare team in a welcoming outpatient environment. This role includes assisting with check-ins, taking vital signs, supporting providers during appointments, maintaining accurate records and providing front desk and receptionist coverage. The Medical Assistant helps ensure that each visit runs smoothly by answering routine phone calls, assisting clients and visitors at the front desk, coordinating appointments and messages, and providing compassionate service while supporting the clinic’s focus on high-quality, client-centered care.
Some of the duties and responsibilities are:
Welcome clients and help create a calm, supportive, and respectful environment.
Check clients in and out, verify insurance, and update demographic and contact information.
Provide fronts desk and receptionist coverage, ensuring the reception area is welcoming, organized, and professionally managed.
Answer incoming telephone calls promptly and courteously, screen and route calls to the appropriate staff member, and take accurate messages when needed.
Respond to routine client and visitor questions, provide general program information, and direct inquiries to the appropriate department or staff member.
Monitor the front desk, greet and assist visitors, and notify staff when clients or guest arrive.
Maintain accurate front desk communications, including telephone messages, appointment-related information, and other administrative follow-up as assigned.
Take and record vital signs, including height, weight, blood pressure, and pulse, as part of routine intake.
Accurately document client information in the Electronic Health Record (EHR).
Assist psychiatrists, nurse practitioners, and clinicians during medication management or wellness visits.
Manage appointment scheduling, reminders, and follow-ups to support continuity of care.
Track and monitor lab work, medication refills, and health screenings as needed.
Coordinate communication between clients, prescribers, and therapists professionally and confidentially.
Maintain exam rooms and ensure medical supplies are organized and stocked.
Support clients with appointment or medication questions while maintaining appropriate boundaries.
Ensure compliance with HIPAA, confidentiality, and safety standards.
Participate in team meetings and contribute to a recovery-focused, collaborative clinic environment.
Perform other duties as assigned.

Requirements
Bilingual proficiency in English and Spanish is required to effectively communicate with clients and families.
High School diploma or GED required; completion of an accredited Medical Assistant program preferred.
Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), or equivalent certification preferred.
Previous experience in behavioral health, psychiatry, or outpatient clinic setting strongly preferred.
Understanding of trauma-informed and recovery-oriented care principles.
Excellent communication skills with empathy, professionalism, and cultural sensitivity.
Strong attention to detail with accurate documentation in Electronic Health Records (EHR) systems.
Outstanding organizational and time-management skills, with the ability to multitask in a fast-paced setting.
Ability to maintain confidentiality and adhere to HIPAA standards at all times.
Works effectively both independently and as part of a multidisciplinary team.
Comfortable working with individuals experiencing mental health or substance use challenges.
Valid driver’s license and reliable transportation required.
Local travel required.
Familiarity with regulatory standards (HIPAA, OSHA) and infection control practices.
Flexibility to adapt to evolving clinical workflows and patient needs.
