Job Description:
The Department of Medicine is the largest department in the University of Florida’s College of Medicine with over 375 faculty, 200 residents & fellows, and a total employee count of over 1000. The annual budget is over $200 million. The department operates through 12 subspecialty divisions, each with its own division chief, faculty and staff. The associate director directly oversees clinical operations, ancillary clinical support functions, faculty affairs, and the Chair’s Office operations. This position works closely with the department’s director of health administration, director of finance (working title), department chair, vice chairs, division chiefs, faculty, and division administrators in identifying and analyzing operational problems, collecting recommendations, implementing solutions, and approving policies and procedures that ensure the department operates at the highest efficiency. The Department of Medicine has 12 clinic locations throughout Gainesville and in outlying areas, which will require regular onsite engagement by the assistant director. This position also interfaces regularly with UF Health clinical leadership and will be engaged in strategic planning, expansion projects, and implementation of new clinical initiatives. This position is expected to be proficient in data analytics, revenue cycle, EPIC, University of Florida business operations systems, and leading teams. As part of the academic mission, this position will lead the operations of the Chair’s Office and Faculty Affairs, interfacing with College and University offices as needed.
Essential Functions;
Clinic Support Team Operations Manages all operations for the centralized clinical support teams listed below and serves as the primary point of contact for these teams. Develops, implements, and monitors operational plans, processes, performance goals, and measures to ensure a high level of patient-focused experience, quality of care, service utilization, and operational efficiency. Oversee day-to-day activities and staffing to ensure effective and efficient use of personnel, facilities, equipment, and other departmental resources. Assesses operational needs and makes recommendations regarding additional staffing, equipment, technology, and services. Responsible for leading and coordinating improvement projects assigned by the Associate Director of Clinical Operations, Vice Chair and Director for Administration, clinic Medical Directors, Division Chiefs, and Department Chair related to operational efficiency, patient safety and satisfaction, risk management, service utilization, and revenue enhancement across departmental outpatient clinic locations. Participates in the development, implementation, and evaluation of policies and procedures governing assigned clinical support services. Maintains awareness of advances in medicine, diagnostic and treatment technologies, electronic medical record and data processing systems, healthcare regulations, and health insurance requirements that may impact clinic operations and patient care. Uses operational and facility data to identify trends, support planning and risk management, evaluate service utilization, and identify opportunities for continuous improvement.
UF Health Physicians (UFHP) Clinic Administration Supports UFHP, departmental, and College of Medicine efforts to advance clinical quality, patient safety, patient satisfaction, operational performance, and UFHP key performance indicators (KPIs). Serves as a member of the management team and works collaboratively with the Associate Director of Clinical Operations, Vice Chair and Director for Administration, clinic Medical Directors, Division Chiefs, Department Chair, and other leadership to support the strategic planning and implementation of departmental ambulatory operations. Supports the development and implementation of new programs, policies, and procedures to ensure employees meet or exceed clinical, operational, and service standards and continue to grow professionally. Ensures UFHP, University of Florida, College of Medicine, health system, and departmental policies and procedures are implemented and followed and that all programs, activities, and services comply with applicable university, state, and federal laws, regulations, accreditation requirements, and health system standards. Works collaboratively with clinic Medical Directors, clinic managers, site supervisors, and UFHP core services to promote patient safety, clinical quality, patient-centered care, provider satisfaction, and effective use of resources. Supports electronic medical record (EMR) implementation, utilization, and optimization and evaluates the impact of technology and data systems on clinical and operational performance.
Special Projects Leads and/or participates in assigned special projects at the direction of the Vice Chair and Director for Administration, Division Chiefs, clinic Medical Directors, Associate Director of Clinical Operations, and Department Chair. Projects may include strategic planning, operational efficiency, patient safety, quality improvement, risk management, service utilization, revenue enhancement, technology/EMR optimization, staffing and resource planning, and development or implementation of new programs and services. Analyzes operational data and develops recommendations, performance measures, and implementation plans to support departmental goals and strategic initiatives. Participates in the formulation, implementation, and evaluation of policies and procedures and assists leadership with planning for future operational, staffing, equipment, technology, and service needs. Fulfills other clinic and ambulatory responsibilities as assigned by the Director or other appropriate administrator in support of the mission, vision, and values of the College of Medicine and the University of Florida.
Education and Engagement Supports supervisory and mid-level leadership engagement through ongoing education, training, and professional development. Develops and coordinates monthly training opportunities for mid-level supervisory staff to strengthen leadership capabilities, enhance operational knowledge, promote professional growth, and support advancement opportunities. Supports employee engagement through team-building activities, communication initiatives, recognition efforts, and professional development opportunities. Provides guidance and direction to supervisors and staff to promote consistent service standards, effective communication, teamwork, patient-centered care, and a positive and inclusive work environment.
Expected Salary:
$110,700 - $140,000 annually
Required Qualifications:
Master's degree in an appropriate area and two years of relevant experience; or a bachelor's degree in an appropriate area and four years of relevant experience.
Preferred:
A master’s degree in business administration (MBA), health care administration (MHA), or clinical education (MSN) is preferred. Six years of progressively responsible business or health care related experience is preferred. Experience managing multiple clinic locations over a large geographical footprint preferred. Four years of internal medicine administrative experience preferred. Experience managing multiple subspecialties preferred. Experience managing the relationships between inpatient and outpatient medicine services. Ideal candidate will be a flexible, critical thinker with the ability to collaborate with different teams of individuals while maintaining a positive, can-do attitude. Ability to plan, manage, organize, and coordinate assignments, and monitor activities of multiple projects simultaneously. Ability to provide oversight over multiple areas to include timely execution of deliverables with organizational, project planning, and time management skills to direct and disseminate policy and procedure in an effective manner. Supervisory experience is required, preferably within an ambulatory setting. Candidate must be able to effectively lead and train employees while creating an environment conducive to good morale. Experience with Microsoft Office using Outlook and creating advanced level Excel spreadsheets is required. Should have experience with multiple components of Epic electronic medical record, including registration, scheduling, billing, check-in/check-out, and point-of-service collections. Experience with PeopleSoft, Enterprise Analytics/Reporting, and Hyperion budgeting tools. Demonstrated knowledge of University and Shands fiscal policies and procedures is required. General financial accounting knowledge is preferred. Proven ability to stay knowledgeable of federal and local rules and regulations governing clinical activities at UF Health.
