What You'll Do

The Business Support Executive is the operational backbone of the Singapore office. This role provides leadership, coordination and on-the-ground execution across facilities, office services, workplace experience, compliance, events and HR coordination. The BSE ensures that the office functions seamlessly day-to-day while also contributing to strategic operational improvements across SEA.

This position requires a proactive individual with strong service orientation, excellent organisational skills and the maturity to supervise vendor teams, uphold office standards, and collaborate confidently with cross-functional partners.

Key Responsibilities

Office Operations & Facilities Management
Operational Oversight

• Serves as the frontline supervisor for all onsite operations personnel (Facilities Management, Front-of-House team, cleaners), ensuring service excellence and alignment with BCG's service culture.
• Uphold and role-model professional behaviour, service etiquette and workplace presentation.
• Manage workplace allocation and changes using digital access systems (FR, HID, AppSpace, Vecos, Capitaland).
• Oversee Café, pantry, stationery, equipment maintenance and supplies.
• Attend to inbound enquiries from staff, visitors and fly-ins, ensuring smooth support.
• Manage vendor relationships to ensure service quality and commercial competitiveness.
• Maintain office insurance policies (all-risk, public liability, etc.) and coordinate annual renewals.

Vendor, Contract & Asset Management

• Manage vendor relationships for items outside IFM’s scope, including sourcing quotes, Coupa onboarding and coordinating repairs/replacements.
• Facilitate payment approval of local vendor invoices.
• Track office operations budget, including cost monitoring, expense reporting and flagging variances.
• Maintain office equipment inventory, including landline extension management, staff movement updates and system clean-up.

Safety, Security & Compliance

• Co-lead safety and security exercises: IRT tabletop, Everbridge tests and emergency procedures.
• Support updates to local crisis management plans and fire drill coordination.
• Oversee mobility/security entries for staff and fly-ins (60–80 entries monthly).
• Ensure digital access and mobility systems remain accurate and audit-ready at all times.

Workplace Experience & Office Culture

• Maintain high service and hospitality standards aligned with BCG’s office expectations.
• Coordinate farewell, welcome, milestone and recognition gifts across business units.
• Support internal communications updates for office directories, contacts and social channels.

HR Coordination & Data Management

• Oversee operations dashboards.
• Support onboarding and offboarding: digital access, workspace preparation, induction coordination and exit documentation (incl AMEX).
• Maintain access systems: removal of leavers, monthly exit audit of HRID.
• Manage Amex corporate card cancellation for leavers and perform monthly review on active cardholders' delinquency report via Amex AtWork portal.

Events, Meetings & Special Projects

• Assist and coordinate internal/external events (All Hands, WWOM, HODs, Town Halls). *The events listed are not exhaustive. The role may also be required to support other events, initiatives, or ad hoc projects as needed.
• Resolve logistical issues efficiently and uphold event standards.

Annual & Ad-Hoc Reporting

• Prepare and support any global reporting requirements (E.g. Origami Risk, Non-US Forms, COPE, BCG Security Survey, Energy Survey Updates and any others).

What You'll Bring

• A Bachelor’s degree in Business, HR or a related field.
• At least 4 years of relevant experience, ideally in a professional services environment or in roles involving office administration or operations support.
• Strong service mindset, professionalism and attention to detail.
• Strong written and verbal communication skills, with the ability to engage confidently and professionally across all levels.
• A collaborative team player who can also operate independently, exercising good judgment, initiative and adaptability.
• Hands-on experience managing third-party vendors, FM contracts and onsite service team.
• A service-oriented mindset with a genuine commitment to delivering high-quality support and workplace experience.
• Ability to manage up and communicate effectively with senior stakeholders.
• Experience in office operations, facilities management or workplace experience roles.
• Confidence managing vendors and supervising day-to-day onsite teams.
• Consistently upholds strong ethics, discretion and high standards of behaviour, especially in sensitive or high-pressure situations.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Outlook, comfortable using AI productivity tools (e.g. Chat GPT, Claude) to improve efficiency and automate routine tasks, with the ability to learn new systems quickly.
