The College of Arts and Letters at The University of Tampa seeks a full-time Staff Assistant I to provide administrative and operational support to the Departments of English and Writing and Languages and Linguistics, while supporting the Saunders Writing Center and University of Tampa Press. This position coordinates a wide range of academic, financial, personnel, and operational processes in a dynamic environment and serves as a primary point of contact for students, faculty, staff, alumni, and community partners. The Staff Assistant works closely with multiple department chairs, program directors, and the Dean's Office and supports operations across several campus locations. The role reports to the Dean of the College of Arts and Letters and the College Administrative Assistant.
Responsibilities
Departmental Support and Operations
Serve as a professional and welcoming point of contact for students, faculty, staff, alumni, vendors, and community partners.
Contribute to a work environment that encourages respect, collaboration, and engagement across a wide range of backgrounds and perspectives.
Provide comprehensive administrative support to the Departments of English and Writing and Languages and Linguistics, including support for department chairs, faculty, and affiliated programs.
Serve as administrative backup to the College of Arts and Letters Dean's Office.
Coordinate departmental correspondence, calendars, meetings, records management, and general office operations.
Maintain current knowledge of university policies, departmental procedures, and catalog requirements to assist students, parents, faculty, and staff.
Perform other duties as assigned in support of departmental, college, and university priorities.
Saunders Writing Center and University of Tampa Press Support
Provide administrative support to the Saunders Writing Center and University of Tampa Press.
Assist with publication-related workflows, editing, and distribution as needed.
Support additional operational needs of both units as assigned.
Academic Administration and Personnel Support
Assist department chairs with messaging, enrollment monitoring, course scheduling, classroom planning, and academic records management.
Track deadlines and follow through on multi-step administrative processes, coordinating with faculty, students, and university offices to ensure timely completion.
Support the recruitment, hiring, onboarding, and contract processing of new faculty hires.
Coordinate student employment processes, including hiring paperwork, scheduling, payroll support, and supervision of student assistants.
Financial and Business Operations
Process supplier invoice requests, faculty reimbursements, spend authorizations, stipends, and other financial transactions using university systems.
Help maintain departmental budgets, reconcile expenditures, monitor accounts, and assist department chairs with financial reporting.
Order, maintain, distribute, and reconcile office supplies, instructional materials, and equipment.
Program, Event, and Project Coordination
Assist with minutes, planning, and coordinating departmental meetings, faculty events, guest speakers, student programs, and other special initiatives.
Support departmental projects and initiatives as assigned.
Qualifications
Required
High school diploma or equivalent.
Two years of progressively responsible administrative support experience.
Proficiency with Microsoft Office (Outlook, Word, Excel, and Teams).
Strong organizational skills with the ability to manage multiple priorities and meet competing deadlines.
Excellent written, verbal, and interpersonal communication skills.
Strong attention to detail and commitment to customer service.
Ability to learn university systems including Workday and other administrative software.
Willingness to embrace new technologies and continuously improve administrative processes.
Preferred
Experience in higher education.
Experience with financial processing, budgeting, or purchasing.
Experience supporting multiple supervisors or departments.
Experience with shipping, inventory management, or publication support.
Work Schedule
Academic Year: Monday–Friday, 8:30 a.m.–5:00 p.m.
Summer: Monday–Thursday, 8:00 a.m.–5:30 p.m.
Occasional evening or weekend hours may be required to support special events.
