POSITION SUMMARY
The Editorial Coordinator is a core operational member of the Blood Journals Portfolio team, supporting all aspects of manuscript submission, peer review, and post‑acceptance workflows for seven journals in the portfolio. The role ensures that authors, peer reviewers, and editors have a smooth, responsive experience with the peer review system and that accepted manuscripts are ready for timely, high‑quality publication. Working under the direction of the Managing Editor for Blood Neoplasia and Blood VTH, the Editorial Coordinator serves as a primary point of contact for authors and reviewers during submission and review.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Editor, Peer Reviewer, and Author Support
Acts as liaison between authors or peer reviewers and Associate Editors, handles inquiries from these outside stakeholders regarding the status of their manuscript, as well as troubleshooting related to manuscript or peer review submission.
Provides support to other staff in workflow coverage during planned and unplanned absences.
Acts as an operational liaison between the editorial team and the publisher to help ensure final files are complete, accurate, and production‑ready
Manuscript Submission and Peer Reviews
Reviews manuscripts for completeness and conformity to journal guidelines and policies and resolves ambiguities or discrepancies with author(s).
Acts as primary contact with author(s) during manuscript submission to help authors submit.
Handles general inquiries related to new and revised submissions.
Serves as a reference for authors and Editors regarding the operations of the manuscript submission system and journal policies, providing assistance with completing tasks in the system as needed.
Applies journal policies and guidelines consistently in the handling of manuscripts.
Post-Acceptance Support and Early Publication (First Edition)
Confirm that authors of accepted papers have provided all necessary files (e.g., final figures, tables, supplementary materials, disclosures, and any required forms) before the article moves to production.
Verify that accepted manuscripts comply with all journal policies, including formatting standards, ethical and compliance requirements, and any special section or article‑type rules.
Work with authors to correct or complete materials, reducing the need for production‑stage queries and delay
Support the preparation and regular publication of First Edition (early release) articles to journal websites, ensuring that metadata, article types, and publication order follow established procedures.
Conduct basic checks for accuracy and completeness of early publication records and flag potential issues to the Managing Editor or publisher contact.
Departmental Support
Serve as an operational go between for the editorial team and the publisher, helping ensure that final article files are complete, consistent, and of appropriate quality for publication.
Track and resolve routine production‑related questions (e.g., missing files, figure quality, minor metadata discrepancies) by coordinating with authors, editors, and publisher contacts.
Contribute to maintaining a reliable, well‑documented workflow between editorial and production, supporting timeliness and quality across the seven‑journal portfolio.
Team collaboration and performance support
Participate actively in team meetings, taking notes or chairing segments as assigned to help ensure clear decisions, follow‑ups, and shared understanding of priorities.
Support activities related to measuring and maintaining journal performance, such as helping compile simple reports on workflow metrics, turnaround times, or submission trends, under direction of senior staff.
Contribute to cross‑team collaboration within the Publications Department and with other ASH departments, assisting with special projects that depend on editorial workflows or journal data.
QUALIFICATIONS, KNOWLEDGE SKILL REQUIRED
Bachelor’s degree in English, science, or a related field, or comparable experience.
Minimum of 3 years of editorial experience, preferably with online peer‑review systems, including exposure to the full editorial lifecycle (submission, review, and pre‑production).
High level of computer literacy, including proficiency with Microsoft Office (desktop and online), web‑based systems, and the ability to learn new editorial/production platforms.
Strong judgment and decision‑making skills for routine editorial workflow questions and stakeholder support.
Excellent organizational skills and ability to manage multiple manuscripts and tasks simultaneously while meeting deadlines.
Strong written and verbal communication skills; able to work constructively with editors, medical researchers, authors, reviewers, and staff in a closely integrated team environment.
PHYSICAL REQUIREMENTS
Requires ability to speak audibly and listen actively.
Requires ability to use computers, telephones and other office equipment.
May require periodic out-of-town travel.
