The Role
Responsible to: Senior Event Delivery Manager
Working Closely with: Event Delivery Manager, Senior Operations Manager, Bar & Cafe Manager, Production & Technical Team, Sales Teams and Freelance/Casual event staff.
This role will be part of BAC’s Operations Team. It may be expected to contribute to a range of workstreams, but the role will primarily lead on all our Commercial Event work as set out below.
General Description
The Event Delivery Manager is responsible for the end-to-end planning, coordination and delivery of a diverse programme of commercial and cultural activity at BAC, including filming hires, weddings, funerals, corporate events, conferences, performances and community events. They will ensure activity is delivered safely, on time, within budget and to the highest standards, providing an exceptional experience for clients, suppliers and staff.
The role involves managing internal teams, external suppliers, logistics, communications, risk mitigation and post-event evaluation, while balancing excellent customer service with strong operational delivery. We would particularly welcome applicants with experience of working with film and television productions, helping to build on BAC's growing reputation as a sought-after filming location and working confidently with Location Managers, production teams and internal stakeholders.
The culture at BAC is a collaborative and open one. We work in an open plan space with no closed private offices and frequently work across teams and roles. We are lucky to have an outdoor terrace adjoined to the office which is particularly nice in the summer months. There’s a good culture of people taking lunch breaks away from desks and two equipped kitchen and eating areas where the team tend to spend their down time. We organise regular social events and things can get competitive at our annual sports day and Christmas quiz. Though to be clear, spectating is respected as much as taking part here at BAC!
Role Responsibilities
Strategic/Project Delivery
Take ownership of each client’s experience of event planning at BAC, providing an exceptional customer experience, making tailored recommendations, communicating speedily and professionally, contributing to outstanding events.
Lead the event delivery process from booking confirmation to completion, ensuring a polished and professional service at all stages; pre, during and post-event, including accommodating any additional requests going above and beyond identifying upselling opportunities and following up on client feedback.
Lead on the evaluation of event delivery to ensure client satisfaction and continuous improvements.
Act as the main point of contact for clients, partners, planners and sponsors, ensuring all aspects of delivery, including health and safety, technical requirements and catering are thoroughly planned and meticulously delivered on schedule and to the highest standards.
Record all client, event and financial information accurately across event management systems, event documents and other relevant tracking spreadsheets, databases or reports.
Support the planning and delivery of filming activity at BAC, including recces, technical recces, production logistics and on-site delivery.
Build positive relationships with production companies, Location Managers and repeat clients to support BAC's reputation as a filming location and encourage repeat business.
Plan and schedule all event-related resources, including cleaning, security, venue staff and setup teams.
Team and Collaboration
Act as the point of contact for casual internal staff and external staffing agencies for your event activities – security, crew, cleaning, etc. Seeking out efficiencies in line with other Event Delivery Manager and Senior Event Delivery Manager as well as Senior Operations Manager. Act as a conduit between clients and relevant internal teams (technical/bar/box office), coordinating requests and responses as required ensuring the client’s journey is effortless and efficient.
Apply planning and communication systems effectively so that colleagues, operational support teams and external suppliers receive the relevant information with an appropriate lead time to deliver a highly professional and welcoming service to clients.
Build and maintain strong relationships with internal teams, building effective relationships with key stakeholders advocating for the continued success and reputation of BAC's events and commercial business.
Skills Contribution
Be trained as a key holder of the building and, when required, open and close the building in line with current operational procedures.
Ensure an exceptional standard is maintained across all events in health and safety, including writing, collating and distributing risk assessments and method statements.
With support from other Event Delivery Manager and Senior Event Delivery Manager, ensure events, building hires and filming activity are fully supported with the necessary infrastructure, equipment, staffing, cleaning, security and technical resources, working closely with colleagues across the organisation.
Process weekly casual staff payroll for commercial activities.
Process invoices using Approval Max application for Commercial Enterprises operations.
Maintain accurate and up-to-date information across operational systems and resource platforms, including Artifax and StaffSavvy.
Business Delivery
Be present on the day of events, filming days and building hires and ensure the event staff are fully briefed to manage the event from get in to get out.
Act as on-call contact for Causal Event Managers when required.
Act as first point of call for filming enquiry site visits and delivery.
Act as the main point of contact with assigned event clients, partners, planners and sponsors to ensure that all aspects of event delivery including health and safety are thoroughly planned and meticulously delivered on schedule and to the highest standards.
Follow financial procedures in an accurate and timely way, ensuring clients receive accurate invoices and any other necessary documentation on time.
Work alongside external suppliers to hire or buy external equipment and furniture where necessary.
Upsell technical and other event services as appropriate, offering the best possible event experience to clients.
Respond confidently and practically to changing client and production requirements, balancing customer experience, commercial opportunities and operational realities.
Support Filming Lead with Event Delivery processes.
General Tasks
Ensure a quick response time to all client enquiries to ensure positive relationships are maintained.
Feed into the systems and processes required to deliver professional and polished events consistently and collaboratively at BAC.
Contribute with managing event spaces and equipment, including event spaces, back-of-house and storage spaces.
Attend operational and planning meetings relevant to Commercial Enterprises activity.
Support with the maintenance and presentation of relevant data for regular KPI reviews.
Maintain accurate filing systems.
Follow and promote good H&S practices as established by BAC across all relevant areas of your role.

This role is 5 days a week Monday-Friday; usual office hours are 10am-6pm. We offer flexible working where possible.
Occasional evening and weekend work will be required.
All staff at Battersea Arts Centre are expected to attend performances and events and be a part of the artistic life of the organisation.
Salary £31,000 gross per annum
Hours 35 hours per week, excluding a daily one-hour lunch break
Overtime No overtime payments; we operate a Time Off in Lieu (TOIL) system, to be taken within two weeks of accrual.
