Summary:
The Medical Receptionist serves as the first point of contact for patients and visitors at our
dermatology clinic. This role is essential in creating a welcoming environment, managing front
desk operations, and ensuring smooth patient flow and administrative efficiency. The ideal
candidate will be highly organized, detail-oriented, and passionate about providing excellent
patient care.
Essential Duties and Responsibilities:
Patient Interaction:
• Performs and assists in performing check-in and check-out duties.
• Greet patients and visitors warmly, ensuring a professional, courteous first impression.
• Directs patients, salespeople, and visitors at the check-in area.
• Instructs new patients on completing medical history and information forms.
• Updates returning patients' demographics and insurance information.
• Greets patients at checkout, answers questions, and aids as necessary.
Administrative Responsibilities:
• Confirms patients' insurance eligibility and copies all pertinent information.
• Enters appropriate data into the computer systems and retrieves data as needed.
• Generates encounter forms and bills for patient visits.
• Compiles all necessary information for visits, including referrals, and distributes it to clinical staff.
• Prepares and maintains medical charts, reports, and correspondence.
• Reviews medical records for completeness and organizes them into standard order for filing.
• Schedules, confirms, and reschedules patient appointments while providing appointment cards.
Financial/Payment Processing:
• Collects co-pays, balances, and posts payments to financial records.
• Retrieves bills, verifies demographic and insurance information, and enters data into the system.
• Balances charges and payments for each provider using financial records.
• Adjusts errors and resolves complaints, recommending policy revisions as necessary.
Operational Support:
• Maintains cleanliness and organization of the front desk and waiting area.
• Monitors voicemail and email communications, ensuring timely responses.
• Coordinates with medical staff to ensure smooth patient flow and efficient office operations.
• Attends all required meetings and training as outlined by Bare Dermatology.
• Completes paperwork and other administrative tasks as assigned.
• Assists with inventory management, stocking, and supply ordering as needed.
• Upholds patient confidentiality and complies with HIPAA regulations.

Qualifications:
Education: High school or equivalent (Required)
Experience:
o Dermatology or specialty medical office: 2 years (Preferred)
o Experience with ModMed PM/EMA software: 2 years (Preferred)
o Customer service experience in healthcare or related fields.
Skills:
o Strong written and verbal communication skills.
o Exceptional phone etiquette and customer service abilities.
o Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
o Basic knowledge of medical office procedures and insurance verification.
o Ability to multitask and prioritize tasks in a fast-paced environment.
o Strong organizational skills with consistent follow-up.
Work Environment:
This position will be based on site in one of our clinics.
Physical Demands:
