SUMMARY OF DUTIES
Reporting to the Supervisor, Infectious Disease Program performs a variety of clerical duties to maintain efficient operations of HPH Sexual Health Clinics. This includes resolving facility issues, working with vendors to maintain clinic inventory, and scheduling of clinicians and medical residents. The Clinical Clerk – Sexual Health works in a busy, highly sensitive and confidential clinic setting with physicians, and Public Health Nurses who provide services including testing and treatment of sexually transmitted infections and the provision of low cost contraceptives. The Clinical Clerk – Sexual Health is accountable for accurate data entry across various platforms and applications.
GENERAL DUTIES
Attends to work at HPH’s Sexual Health clinic sites as scheduled during daytime and evening hours.
Maintain client records in accordance with City and Divisional policies and procedures (accurately inputting data, filing, organizing, purging, auditing, and any other identified activities necessary for the maintenance of the system).
Process lab reports, uploads into the HPH electronic medical record.
Process confidential correspondences (e.g. letters/faxes/referrals to clients/physicians).
Responds to client inquiries, requests, and complaints in a timely and professional manner.
Provides guidance and support to clinic staff related to clinic policies and procedures.
Receives debit machine and cash payments for medications. Records and issues receipts, balances cash, and bank deposits. Follows City of Hamilton policies and procedures for cash handling.
Maintain an adequate inventory of supplies - including contraceptives and antibiotic treatments, and coordinates delivery of supplies with vendors to ensure no disruption in service.
Effectively work on a multidisciplinary team of physicians, and Public Health Nurses.
Prepare clinic schedules for clinicians and medical residents. Records physician hours for billing purposes.
Review OHIP billings after each clinic. Identifies billing code errors and notifies supervisor.
Collaborate with appropriate HPH staff to improve work processes and practices e
Generates reports from electronic medical records as requested.
Complete requests for clinic facility maintenance problems and communicates facility issues to aHPH clinic staff who work at the location (e.g. Dental, Tobacco, and Vaccine Program staff).
Performs other duties as assigned.
Works in accordance with the provisions of applicable health and safety legislation and all City of Hamilton corporate and departmental policies and procedures related to occupational health and safety.
QUALIFICATIONS
Previous experience in a clinic/medical setting related to duties listed above normally acquired through a combination of relevant work experience and education.
Highly developed customer service and interpersonal skills. Proven ability to work with clients, peers, and leaders while maintaining confidentiality, and professional accountability.
Must be proficient in computer and keyboarding skills with an emphasis on accuracy including proficiency in Microsoft Office (Outlook, Word).
Must possess initiative, problem solving skills, accountability, and the ability to work independently.
Previous experience with an electronic medical record and/or provincial databases would be an asset.
General knowledge of current Provincial Acts & Regulations such as Personal Health Information Protection Act, (PHIPA), Freedom of Information and Protection of Privacy Act (FIPPA); Municipal Freedom of Information and Protection Act (MFIPPA).
Excellent time management and organizational skills, work planning and priority setting within defined timelines.
NOTE: The successful candidate will be required to provide immunization records, which may include TB testing prior to the start of employment to meet the requirements of Policy HSW-01 Staff Proof of Immunity to Vaccine Preventable Diseases.
