About the Role
We are seeking a highly organized, detail-oriented, and proactive Finance Department Administrative Assistant to support our finance and operations team. This position is ideal for someone who enjoys managing multiple priorities, negotiating with vendors, tracking budgets, and ensuring compliance with insurance and licensing requirements.
The ideal candidate is a strong communicator, an excellent negotiator, and has experience working with financial records, vendors, and administrative processes.
Key Responsibilities
Process and track company bills and ensure timely payments.
Communicate with vendors to negotiate pricing, discounts, and contract renewals.
Assist with budgeting by tracking expenses and preparing financial reports.
Manage business license, permit, and application renewals.
Coordinate insurance audits and gather required documentation.
Monitor insurance compliance requirements and maintain accurate records.
Assist with insurance policy renewals and negotiate competitive pricing with brokers and carriers.
Maintain organized financial and administrative records.
Work closely with management to identify cost-saving opportunities.
Support the finance department with administrative projects and reporting as needed.
Qualifications
Previous experience in an administrative, finance, accounting, or office management role.
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Comfortable negotiating with vendors and service providers.
Proficient in Microsoft Office (Excel, Word, Outlook); experience with accounting software is a plus.
Strong attention to detail and accuracy.
Ability to handle confidential information with professionalism.
Self-motivated, dependable, and able to prioritize multiple tasks.
Preferred Qualifications
Experience with budgeting and expense tracking.
Knowledge of insurance compliance, audits, and policy administration.
