We have a new DOC Treaty Operating Model that will strengthen how we work with Treaty partners and bring greater clarity to expectations, roles, and accountability across the organisation. This makes it an exciting time to join our Iwi Strategy and Partnerships Group.
As a Personal Assistant, you will provide exceptional support to three Kaihautū/Directors within the Iwi Strategy and Partnerships Group, enabling them to focus on strategic priorities and strengthening relationships with iwi, hapū and Māori. This is a fast-paced and varied role requiring outstanding organisation, sound judgement, discretion, and the ability to build strong relationships with a wide range of stakeholders.
Key Responsibilities;
Provide proactive executive and administrative support to three Kaihautū/Directors.
Manage complex diaries, emails, correspondence, and travel arrangements.
Coordinate meetings, hui, workshops, and events, including logistics, agendas, papers, minute taking, and follow-up actions.
Ensure leaders are well prepared for meetings and key commitments through timely provision of briefing materials and information.
Anticipate issues, manage competing priorities, and support effective decision-making.
Prepare routine correspondence, track actions, and coordinate responses to information requests.
Maintain effective document management systems, records, and administrative processes.
Build and maintain strong relationships with internal and external stakeholders.
Support continuous improvement by identifying opportunities to enhance administrative processes and service delivery.
Provide timely, accurate information and adapt effectively to changing priorities and business needs.
Contribute ideas and feedback that help improve team and organisational outcomes.
You will understand the importance of the Māori-Crown relationship and have a genuine commitment to working in partnership with iwi. You will be comfortable working in culturally diverse environments, respectful of tikanga Māori, and willing to seek guidance and support when required.
Experience using tikanga in everyday workplace settings, including participation in waiata and pepeha, will be highly valued.
What you will bring;
Proven experience as a Personal Assistant or Executive Assistant supporting senior leaders.
Exceptional organisational, prioritisation, and time management skills, with the ability to manage competing demands.
Strong experience managing complex diaries, coordinating meetings and hui, and preparing agendas and minutes.
Excellent written and verbal communication skills, with the ability to build trusted relationships across a wide range of stakeholders.
Demonstrated ability to handle sensitive and confidential information with professionalism and discretion.
Advanced proficiency in Microsoft Office applications and confidence learning new systems and technologies.
Strong attention to detail, accuracy, and commitment to delivering high-quality outcomes.
A proactive, adaptable, and collaborative approach, with experience working effectively in complex organisational environments.
