Position Summary
The Volunteer Manager leads and manages the affiliate-wide volunteer program, ensuring that individuals and groups have a safe, organized, meaningful, and mission-focused volunteer experience. This position serves as the primary point of contact for volunteers and works closely with Construction, ReStore, Development, Homeowner Services, and other departments to identify volunteer needs and coordinate appropriate opportunities.
The Volunteer Manager is responsible for building and maintaining a strong pipeline of individual, corporate, faith-based, school, and community volunteers while strengthening volunteer engagement, retention, and the overall volunteer experience.
Essential Duties and Responsibilities
Volunteer Program Management
Manage the affiliate-wide volunteer program from recruitment and onboarding through recognition and retention.
Develop and maintain an annual volunteer plan that reflects organizational and departmental needs.
Coordinate volunteer opportunities across construction sites, ReStore, special events, office projects, homeowner programs, and other affiliate activities.
Maintain an accurate calendar of volunteer opportunities, site capacity, and available work assignments.
Establish and maintain procedures that ensure departments provide adequate advance notice of volunteer needs.
Match volunteers and groups with appropriate opportunities based on their skills, interests, availability, and organizational needs.
Recruitment and Community Engagement
Recruit individual and group volunteers through businesses, schools, universities, faith communities, civic organizations, community partners, and other sources.
Develop and maintain relationships with corporate volunteer groups, community organizations, and prospective volunteer partners.
Conduct outreach presentations and participate in community events, as appropriate.
Maintain communication with previous volunteers and groups to encourage repeat participation.
Partner with Development to support corporate volunteer engagement connected to sponsorships and partnerships.
Volunteer Scheduling and Coordination
Manage volunteer registrations, scheduling, confirmations, cancellations, waitlists, and schedule changes.
Communicate clearly with volunteers regarding arrival times, locations, dress requirements, safety expectations, waivers, and other instructions.
Coordinate with Construction and other departments to confirm that sites are prepared to receive scheduled volunteers.
Monitor volunteer capacity to avoid overbooking or scheduling volunteers when meaningful work is unavailable.
Respond promptly and professionally to volunteer questions and scheduling issues.
Orientation, Safety, and Compliance
Ensure required volunteer applications, waivers, releases, background screenings, and other documentation are completed when applicable.
Coordinate volunteer orientation and ensure volunteers understand Habitat’s mission, expectations, policies, and code of conduct.
Partner with Construction leadership to ensure construction volunteers receive appropriate site-specific safety orientation and supervision.
Maintain volunteer records in accordance with organizational policies and applicable requirements.
Escalate safety, conduct, or volunteer-related concerns to the appropriate leadership.
Volunteer Experience and Retention
Create a welcoming, professional volunteer experience from the initial inquiry through completion of service.
Regularly gather feedback from volunteers and internal departments to identify opportunities for improvement.
Develop and implement strategies to increase volunteer retention and repeat participation.
Coordinate volunteer appreciation and recognition efforts.
Identify highly engaged volunteers who may be appropriate for leadership or recurring volunteer roles.
Address volunteer complaints or concerns professionally and promptly.
Internal Coordination
Meet regularly with Construction and other departments to forecast volunteer needs.
Establish clear procedures for departments requesting volunteer support.
Communicate schedule changes, cancellations, and capacity concerns promptly.
Partner with Development and Communications on volunteer campaigns, corporate engagement, storytelling, and recognition.
Work with ReStore leadership to identify and coordinate ReStore volunteer needs and opportunities.
Support major affiliate events and special volunteer initiatives.
Data, Reporting, and Continuous Improvement
Maintain accurate volunteer records, including volunteer hours, participation, group activity, cancellations, and repeat volunteer engagement.
Prepare monthly and annual volunteer reports for leadership.
Track volunteer participation against affiliate goals.
Analyze volunteer utilization, retention, no-show rates, and capacity to identify trends and improvement opportunities.
Maintain volunteer-management systems and ensure data is entered accurately and on time.
Recommend and implement process improvements that increase efficiency and enhance the volunteer experience.
Qualifications
Bachelor’s degree in nonprofit management, business, communications, public administration, human services, or a related field preferred; equivalent relevant experience may be considered.
Three or more years of experience in volunteer management, nonprofit operations, community engagement, event coordination, or a related field.
Experience managing large groups, corporate volunteers, or community partnerships strongly preferred.
Strong organizational, scheduling, and project-coordination skills.
Excellent written and verbal communication skills.
Demonstrated ability to meet deadlines and achieve program or production goals.
Ability to build relationships with people from diverse backgrounds.
Strong customer-service mindset and the ability to handle difficult or sensitive situations professionally.
Comfort working in both an office environment and active construction or volunteer environments.
Proficiency with Microsoft Office and volunteer-management or database systems.
Ability to work weekends and occasional evenings based on volunteer activities and events.
Valid driver’s license and reliable transportation may be required.
Physical Requirements and Working Conditions
Work Environment
This position is based across the office, ReStore, and active construction worksites.
Frequent outside meetings and presentations are required, including some evening and weekend meetings.at locations and times when public transportation may not be available.
Ability to work outdoors in varying weather conditions, including heat and limited shade.
Physical Demands
Ability to lift up to 50 pounds and perform manual labor as needed.
Ability to stand, bend, sit, and walk on construction sites that may have uneven ground.
Comfort working in outdoor construction environments.
Schedule
Full-time, non-exempt position; expected schedule is 40 hours per week.
Standard schedule is Tuesday through Saturday.
Occasional evening meetings or events are required.
