The Order Fulfillment Specialist is responsible for resolving complex customer issues and coordinating sales orders to ensure timely and accurate delivery. The role combines operational order management with advanced customer support, requiring strong analytical and problem-solving skills.

The specialist monitors order progress, analyzes customer feedback and service data to identify trends, and recommends improvements to enhance service quality. They handle high-priority and escalated cases, applying advanced troubleshooting methods to resolve challenging issues.


Your role:

  • Monitors sales orders across channels, including order receipt, status tracking, and returns processing, ensuring smooth order fulfillment.

  • Tracks sales performance and order progress, providing timely updates to support decision-making.

  • Owns complex and sensitive customer cases, delivering effective and tailored resolutions.

  • Analyzes customer feedback and service data to identify trends and recommend service improvements.

  • Applies advanced troubleshooting techniques to resolve complex technical issues.

  • Manages high-priority cases and special orders and coordination with manufacturing planners, ensuring timely and effective resolution while maintaining high levels of customer satisfaction.

  • Uses data analysis tools to track performance and generate insights for management.

  • Ensures accuracy in processing orders and service requests, managing complex transactions end-to-end.

  • Drives initiatives to improve customer experience by identifying and addressing systemic issues.

  • Collaborates with internal teams (logistics, planning, production, transport) to prevent issues and improve processes.

  • Supports key customer accounts, ensuring high-quality service and effective issue resolution.

  • Participates in continuous improvement initiatives and adoption of new tools and practices.

You're the right fit if:

  • Vocational Education in Customer Service, Supply Chain, Operations or equivalent ((e.g., technical diploma or relevant certification).

  • Minimum of 2 years of experience in operational functions such as customer service, order management, procurement, supply chain, or logistics.

  • At least 1 year of hands-on experience with SAP and strong proficiency in Microsoft Office (Excel, Word, PowerPoint).

  • Fluent Polish, and English communication skills at C1 level (written and verbal).

  • Strong data analysis and interpretation skills to drive insights and decision-making.

  • Proven ability in root cause analysis (RCA), troubleshooting, and escalation management.

  • Excellent documentation and reporting skills, with a continuous improvement mindset to optimize processes.
