POSITION SUMMARY
The Regional Senior Compliance Specialist supports the Customs/Compliance along with Dangerous Goods team by gathering Customs/Compliance hours, creating essential documentation, and organizing system details into a centralized, easy-to-locate format. This role is instrumental in preparing executive-level presentations, assisting with data gathering on behavioral observations, and ensuring Customs/Compliance data visibility across the North and South America regions. Additionally, the Coordinator facilitates the sharing of Customs/Compliance successes and supports the regional team in compiling critical Customs/Compliance alerts, preparing details for monthly newsletters and development of work instructions. They will assist the Logistics & Dangerous Goods Experts in overseeing the safe handling, storage, and global distribution of lithium batteries. This role is critical in ensuring our warehouse operations and outbound shipments comply with stringent international and domestic regulations. The ideal candidate can assist our experts on lithium battery classifications, and training possesses the certifications required to sign off on multi-modal transport documents. ESSENTIAL DUTIES AND RESPONSIBILITIES
Prepare, review, and organize essential import/export documentation, including Commercial Invoices, Packing Lists, Bills of Lading (BOL), Certificates of Origin, and Customs Entries.
Assist with classifying goods under the Harmonized System (HS/HTS) code database.
Coordinate daily with customs brokers, freight forwarders, and logistics providers to facilitate timely clearance and resolve shipment of holds or delays.
Maintain organized electronic and physical files for all import/export entries in accordance with statutory record-retention requirements.
Organize current system details and compile information into a unified, accessible format.
Prepare comprehensive slide deck presentations for executive leadership reviews.
Assist the Customs/Compliance team with onsite assessments.
Organize site-specific Customs/Compliance details to provide clear visibility to local leadership teams.
Share details and success stories to promote a proactive Customs/Compliance culture.
Compile details for Customs/Compliance alerts, work instructions, and other training materials as needed.
Support the regional Customs/Compliance team in standardizing Customs/Compliance structures across sites.
Creation of forms to be maintained as records
Assist with Regulatory Compliance & Documentation supporting the Subject Matter Expert (SME) for all lithium battery shipping regulations, including UN3480, UN3481, UN3090, and UN3091.
Prepare and validate all Dangerous Goods (DG) documentation, including Shipper’s Declarations for Dangerous Goods, IMO Dangerous Goods Declarations, and Bill of Ladings.
Monitor changes in global regulations (IATA, IMDG, DOT) and update internal Standard Work Instructions (SWIs) accordingly.
Air: Ensure 100% compliance with IATA Dangerous Goods Regulations (DGR), specifically focusing on State and Operator variations, State of Charge (SoC) limits (30%), and passenger vs. cargo-only aircraft restrictions.
Ocean: Manage shipments under IMDG Code requirements, ensuring proper segregation, container marking, and placarding for maritime transit.
Road: Oversee domestic ground transport in accordance with 49 CFR (DOT), managing "Excepted" vs. "Fully Regulated" shipments and ensuring driver credentials meet hazmat requirements.
Support SME with Internal Warehouse & Storage Safety while designing and maintaining specialized storage zones for lithium batteries, ensuring compliance with local fire codes and insurance requirements.
Support SME with Implementation of strict segregation protocols to keep lithium-ion and lithium-metal cells away from incompatible materials or flammable liquids.
Support Team with Establishing "Damaged, Defective, or Recalled" (DDR) battery handling areas and emergency response protocols for thermal runaway events.
Support Dangerous Goods regional team in conducting regular audits of warehouse racking, labeling (Class 9, Lithium Battery Mark, Cargo Aircraft Only), and packaging integrity.
Support the Dangerous Goods team in training by administrating DG awareness training, 49 CFR and IATA for warehouse floor staff, covering safe handling, palletization, and spill/incident response.
Audit packing lines to ensure the correct use of UN-specification packaging and required cushioning materials.
REQUIRED SKILLS & COMPETENCIES
Education & Experience:
The successful candidate must possess strong organizational skills and an in-depth understanding of documentation standards. They should have experience in data compilation and reporting, with the ability to translate complex Customs/Compliance metrics into clear executive summaries. Excellent communication skills are required for collaborating with site leadership across varied geographic regions. Must be a proactive team player with an interest in promoting behavioral-based Customs/Compliance. They should have experience in Logistics or Supply Chain Management focusing on the handing of dangerous goods materials.
Computer Skills:
Microsoft Office (advanced PowerPoint and Excel) & G Suite proficiency is required.
Certificates & Licenses:
Minimum A.A/A.S or equivalent hands-on experience in a Customs/Compliance or administrative coordination role.
IATA DGR Certification: Current certification for the transport of Dangerous Goods by Air (Category 1 or 6)
IMDG Code Certification: Valid certification for the transport of Dangerous Goods by Sea.
49 CFR / DOT Hazmat: Deep understanding of Title 49 of the Code of Federal Regulations for domestic U.S. transport.
Experience: Minimum of 2 years in a logistics or warehouse environment specifically focused on high-density lithium battery storage and distribution.
