Job Title: On-Call Event Staff Runner

Department: Programming

Reports to: Artist Services Manager

Status: On-Call, Non-Exempt

Work Location: Fully Onsite | The Smith Center 

Hourly Rate: $19.07

Summary of Duties and Responsibilities

The On-Call Event Staff Runner provides operational, hospitality, and logistical support for artists, touring productions, and Programming Department activities to help ensure the successful execution of performances and events at The Smith Center. Reporting to the Artist Services Manager and in coordination with tour management, this position assists with artist and show personnel transportation, time-sensitive errands, delivery and pickup of event-related materials and supplies, and other operational support before, during, and after performances and events.

This position plays an important role in delivering an exceptional artist and guest experience while maintaining a high level of discretion, professionalism, and customer service. The On-Call Event Staff Runner must be able to effectively prioritize multiple assignments, respond to changing operational needs, and work efficiently in a fast-paced environment while exercising sound judgment and attention to detail.

Essential Duties and Responsibilities

  • Provide transportation for artists, touring personnel, and other authorized guests to and from airports, hotels, venues, and other approved destinations in a safe, courteous, and professional manner.
  • Support the Programming Leadership team with event logistics before, during, and after performances and special events to help ensure smooth day-of-event operations.
  • Complete time-sensitive errands, including the pickup and delivery of artist hospitality items, catering, production supplies, equipment, documents, and other event-related materials.
  • Assist with artist hospitality and backstage support by helping prepare dressing rooms, delivering requested items, and responding to artist, tour management, and event personnel needs as directed.
  • Coordinate assigned activities with the Artist Services Manager, tour management, and other internal departments to support operational and event requirements.
  • Safely operate standard passenger vehicles, passenger vans, Sprinter vans, or similar vehicles while complying with all applicable traffic laws and The Smith Center's vehicle safety procedures.
  • Maintain the cleanliness, organization, fueling, and overall readiness of assigned vehicles and assist in maintaining organized backstage, hospitality, and storage areas.
  • Represent The Smith Center in a professional, courteous, and service-oriented manner when interacting with artists, touring personnel, vendors, guests, and fellow team members.
  • Maintain confidentiality and exercise professionalism and discretion when working with artists, touring productions, and confidential event information.
  • Accurately communicate updates, schedule changes, and operational information to the Artist Services Manager and other designated personnel members to help ensure efficient event execution.
  • Follow established departmental procedures and safety guidelines while performing assigned responsibilities.
  • Maintain regular, reliable, and punctual attendance.
  • Perform other duties and special projects as assigned within the scope of the position to support Programming Department operations and the successful execution of performances and events.

Required Education, and Experience

  • High school diploma, GED, or equivalent combination of education and experience required.
  • Minimum of three (3) years of experience in artist services, hospitality, guest services, event operations, transportation, performing arts, live entertainment, hotels, or a related customer service environment preferred.
  • Experience providing exceptional customer service while interacting with guests, artists, performers, touring personnel, or VIP clientele preferred.
  • Experience working in a fast-paced environment with the ability to effectively prioritize multiple assignments and adapt to changing operational needs.
  • Valid driver's license with an acceptable driving record required and the ability to safely operate standard passenger vehicles, passenger vans, Sprinter vans, or similar vehicles.

  • Strong organizational skills and attention to detail, with the ability to coordinate and complete multiple assignments in a fast-paced, event-driven environment.
  • Ability to establish priorities, adapt to changing schedules and operational needs, and effectively manage time while meeting deadlines.
  • Demonstrated ability to exercise sound judgment, think critically, solve problems, and make appropriate decisions in a dynamic environment.
  • Ability to work independently with minimal supervision while also collaborating effectively as part of a team.
  • Ability to build and maintain positive working relationships with individuals from diverse backgrounds, roles, and communication styles.
  • Demonstrated professionalism, discretion, reliability, and the ability to maintain confidentiality when working with artists, touring productions, and event personnel.
  • Ability to learn, retain, and consistently follow departmental procedures, safety guidelines, organizational policies, and operational standards.
  • Ability to remain flexible, composed, and service-oriented while responding to changing priorities and time-sensitive requests.
  • This position requires the flexibility to work varied shifts and extended hours, including early mornings, days, evenings, weekends, holidays, and other hours as needed to support performances, events, and operational requirements.
  • Must be 21 years of age.
  • Must be legally authorized to work in the United States.

Computer Skills

  • Proficiency with Microsoft Office applications, including Outlook, Teams, Word, and Excel, and the ability to use email, internet browsers, and other standard computer applications.
  • Ability to learn and effectively use departmental scheduling, event management, and venue management software.
  • Experience with Social Tables, Momentus Elite, or similar event and venue management systems is preferred.

  • Ability to frequently stand, walk, sit, and move throughout The Smith Center and off-site locations for extended periods while supporting performances, events, artist services, and operational needs.
  • Ability to frequently bend, reach, twist, stoop, crouch, kneel, climb, balance, grasp, and perform repetitive hand and arm movements while carrying out assigned responsibilities.
  • Ability to regularly lift, carry, push, and/or pull materials, equipment, supplies, luggage, hospitality items, and other event-related items weighing up to 50 pounds, with or without reasonable accommodation.
  • Ability to safely operate standard passenger vehicles, passenger vans, Sprinter vans, or similar vehicles for extended periods while transporting artists, touring personnel, and authorized guests.
  • Ability to operate standard office equipment, computers, tablets, mobile devices, and two-way radios, including frequent use of hands and fingers for typing, handling equipment, and communicating during event operations.
  • Ability to communicate effectively in person, by telephone, and via two-way radio throughout the workday.
  • Specific vision abilities include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. Sufficient hearing is required to receive and respond to verbal instructions, radio communications, traffic conditions, and other environmental sounds.
  • Work is performed in both indoor and outdoor environments and may require exposure to varying weather conditions, loud noise levels, theatrical lighting (including strobe effects), dust, grease, smoke, fumes, odors, gases, and potential mechanical or electrical hazards commonly associated with live entertainment and event operations.
  • Ability to work safely in a variety of environments, including performance venues, backstage and back-of-house areas, dressing rooms, loading docks, storage areas, kitchens, hospitality spaces, parking areas, and other operational locations as needed to support Programming Department activities.

Certificates, Licenses, and Registrations

Must be able to qualify for licenses and permits if required by federal, state, and local regulations during the course of employment.

  • Valid driver's license with an acceptable driving record required.
  • Must meet and maintain The Smith Center's motor vehicle driving standards and remain eligible to operate organization-owned, leased, or rented vehicles in accordance with the organization's motor vehicle insurance policy requirements.
  • Demonstrated commitment to safe driving practices and compliance with all applicable traffic laws, organizational vehicle policies, and safety procedures.
  • Must promptly notify The Smith Center of any changes to driving status, including license suspension, revocation, restrictions, or motor vehicle violations that may affect driving eligibility.
