The Role
Reporting to the Manager of Customer Experience, the Adoptions Supervisor oversees daily adoption operations to ensure successful matches and provides education to adopters regarding animal care needs. This role maintains a strong public presence, upholds exceptional customer service standards, and manages staff scheduling. The Adoptions Supervisor also supports the Animal Care and Admitting teams as needed to ensure high standards of animal welfare and customer service are consistently maintained.
Key Roles & Responsibilities
Staff Management
• Coach, develop, and motivate staff through one-on-one meetings, performance development discussions, and regular floor presence.
• Conduct investigations related to incidents and performance concerns as required, identifying effective resolutions.
• Collaborate with other supervisors to develop and implement plans that enhance staff morale and engagement.
• Supervise departmental volunteers and coordinate volunteer workflow.
Interdepartmental Support
• Deliver excellent customer service and education by answering questions and resolving concerns or complaints
• Maintain comprehensive knowledge and training across all operational areas, including Admitting, Adoptions and Animal Care to provide seamless cross departmental support
Administration
• Participate in recruitment, hiring, onboarding, and training of staff and volunteers.
• Review and maintain accurate animal records in Shelter Buddy.
• Ensure compliance with policies, protocols, and standards related to cleaning and sanitation.
• Perform daily opening and closing administrative duties, including ordering and receiving shelter supplies.
• Create and maintain current SOPs, forms, and health and safety documentation.
• Manage daily team scheduling through ADP.
• Assist in budget development and capital projects.
Education & Requirements
• High school diploma required.
• Minimum six months of supervisory or leadership experience required.
• Minimum six months of customer service experience required.
• Intermediate computer proficiency in MS Word, Excel, Outlook, and internet applications.
• Experience working with and handling animals.
Skills & Abilities
The ideal candidate demonstrates strong customer service skills and experience handling animals, including those in distress or deceased. You are passionate about coaching and mentoring staff, fostering a collaborative, engaged, and productive team environment. You thrive in a fast-paced setting and can effectively multitask with minimal supervision. With excellent communication skills and knowledge of emergency response protocols, you remain calm and empathetic in high-pressure situations. You are also confident and skilled in working with a culturally diverse team of staff, volunteers, and community members.

Compensation & Benefits
The Adoptions Counsellor role is classified in Pay Band 4, with a pay range of $50,539.63–$66,892.80 per year, commensurate with the successful candidate’s education and experience.

Hours of Work
• Standard hours: 40 hours per week; however, this position is expected to work the hours necessary to fulfill departmental responsibilities.
• Flexibility may be required for evenings, weekends or special events.
