A Brief Overview The Job Captain II is responsible for advancing Facilities Planning & Design projects through strong technical coordination, document control leadership, and cross-functional collaboration. This role integrates design coordination with project engineering practices, ensuring that project documentation, communication workflows, and construction interface processes are organized, accurate, and aligned with Stanford Health Care (SHC) standards. The Job Captain II manages and improves documentation systems across the project lifecycle—from planning and design through early construction—while supporting coordination among Project Managers, architects, consultants, contractors, and internal stakeholders. The position applies professional judgment to resolve moderately complex technical, documentation, and coordination issues and plays a key role in maintaining alignment between user requirements, design intent, regulatory requirements, and construction execution. This role contributes to consistent project delivery by strengthening document control processes, supporting construction-phase coordination activities, and enhancing communication across stakeholders to ensure quality, compliance, and timely execution.

What you will do
Independently manage project documentation workflows, including tracking, distribution, version control, archiving, and quality assurance of drawings, specifications, and project records.
Establish and maintain structured document control systems to ensure accuracy, completeness, and accessibility of project-related documentation across all phases.
Review and verify and correct project drawings and documentation to ensure completeness, consistency, and adherence to standards and project requirements.
Support Project Managers and design teams by leading coordination activities for defined scopes or projects of moderate complexity.
Coordinate architectural, engineering, and specialty consultant deliverables to ensure integration and alignment across disciplines.
Support development of room data sheets, equipment planning, and program validation activities with increasing independence.
Assist with preparation of diagrams, test fits, and presentation materials to support stakeholder decision-making.
Conduct initial reviews and coordination of RFIs (Requests for Information), submittals, change orders (including Potential Change Orders), and pay applications, identifying discrepancies and supporting resolution.
Facilitate and participate in project meetings (user groups, design coordination, and construction coordination), including preparing agendas, documenting decisions, and tracking action items.
Maintain clear and consistent communication across stakeholders to ensure project alignment and timely escalation of issues.
Build and sustain collaborative relationships with clinical, operational, facilities, and external partners.
Support regulatory coordination, including documentation preparation, permit tracking, and alignment with healthcare facility requirements (e.g., OSHPD processes).
Monitor design coordination schedules and deliverables, identify risks, and support mitigation strategies.
Contribute to continuous improvement of documentation systems, workflows, and coordination practices to enhance efficiency and project outcomes.
Perform additional project engineering, planning, design coordination, and operational duties as assigned.
Education Qualifications
Bachelor’s degree required.
Bachelor’s degree in Architecture, Engineering, Construction Management, or a closely related discipline preferred.
Relevant experience in lieu of degree may be considered and is in addition to the experience requirements for this position.
Experience Qualifications
Minimum 2 years of progressively responsible experience in facilities planning, design, construction management, or a related field supporting healthcare or complex building projects.
Experience supporting design documentation, coordination, or project delivery processes preferred.
Required Knowledge, Skills and Abilities
Working knowledge of planning, design, and construction processes, including documentation workflows and project delivery lifecycle.
Ability to read and interpret architectural and engineering drawings across disciplines, with developing capability in coordination of integrated systems.
Understanding of QA/QC principles related to design documentation and construction coordination.
Ability to manage multiple priorities and projects simultaneously with accuracy, organization, and attention to detail.
Effective written and verbal communication skills, with the ability to clearly convey technical and project information to diverse stakeholders.
Ability to build and maintain collaborative working relationships across internal teams, consultants, and external partners.
Demonstrated problem‑solving skills and ability to apply professional judgment to moderately complex technical and coordination challenges.
Experience coordinating documentation such as RFIs, submittals, and change orders, with attention to compliance and accuracy.
Proficiency in Microsoft Office and familiarity with industry-standard tools such as AutoCAD, Revit, Bluebeam, or similar platforms.
Ability to support development of diagrams, test fits, and presentation materials for stakeholder communication.
Demonstrated ability to leverage emerging technologies (including AI-enabled productivity tools, workflow automation, analytics platforms, and decision-support tools).
Proven ability to operate effectively in a fast-paced environment with multiple competing deadlines, shifting priorities, and large-scale operational demands.

Base Pay Scale: Generally starting at $55.85 - $74.00 per hour
