Provide comprehensive administrative support to the Clinical Services Group and U.S. Sales & Marketing organization, including coordination of business travel, expense reporting, meetings and events, and clinician engagements. Ensure seamless day-to-day operations through effective scheduling, communication, and execution of a wide range of administrative activities.
Essential Job Functions:
Manage schedule and calendar of management with attention to accuracy and detail, including keeping Executive informed of calendar changes and change requests
Use relevant systems to prepare correspondence and presentations, and support data entry and reporting for departmental and executive needs.
Manage and coordinate meetings, events, travel logistics, and office supply needs to ensure seamless support for departmental and executive priorities.
Ensure the preparation of information, documents, and logistics for assigned departments or executive level management
Schedule domestic and international travel in compliance with existing policies and procedures, to optimize use of Executive's time and schedule
Support additional administrative or operational tasks as needed.
Requirements:
High school diploma with 6 years of experience directly related to executive administrative support of senior leaders
Excellent written and verbal communications skills, including negotiating and relationship management skills
Extensive knowledge and understanding of company policies, procedures, and administrative requirements
Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
Advanced problem-solving skills
Ability to manage complex travel arrangements, in keeping with overall time commitments and in support of optimizing time management
Completes tasks in resourceful and effective ways
Ability to manage internal and external confidential information with utmost discretion
Works autonomously within established procedures and practices
Ability to build and maintain strong relationships across the organization to influence and achieve objectives
Ability to work in a fast paced, dynamic work environment
Strict attention to detail
Ability to interact professionally with all organizational levels
