The University of Miami/UHealth Department of Pediatrics has an exciting opportunity for a full time Clinical Program Coordinator to work in Miami, FL.
The Clinical Program Coordinator assists in the development, organization, production, and evaluation of various departmental program offerings within the assigned unit. Moreover, this employee provides general oversight to daily program activities in support of the University’s mission. The Clinical Program Coordinator may also monitor the financial performance of programs to meet departmental goals and assists with short-and long-range budgetary planning.
Core Responsibilities:
Evaluates program effectiveness, analyzes results, and recommends appropriate action.
Coordinates clinical program activities with other departments and staff to ensure optimal efficiency.
Serves as a main point of contact to facilitate communication between stakeholders.
Develops collaborative partnerships across teams and/or patients to streamline processes and enhance departmental productivity.
Trains, develops, and empowers staff to effectively perform their jobs.
Develops program/departmental communications and may involve promotional materials for distribution.
Prepares reports which may include financial statements, and records for management or outside agencies.
Ensures confidentiality of patient and hospital business information.
Coordinates the maintenance of established supply levels in designated areas, as needed.
Adheres to University and unit-level policies and procedures and safeguards University assets.
Department Specific Functions:
Manage the UM Hemophilia Treatment Center 340B Factor Program, ensuring effective and efficient workflows in compliance with 340B Federal Factor Program requirements and Office of Pharmacy Affairs standards.
Monitor the OPA website to ensure the accuracy and validity of UM HTC 340B program information.
Complete the annual 340B program certification process as required by OPA.
Manage 340B account revenues, expenses, claims issues and resolutions, patient education, program enrollment, insurance verification, and required patient consents for Hemophilia of Georgia, the University of Miami’s 340B contract pharmacy.
Obtain prescriptions from pediatric and adult HTC providers as needed; negotiate factor pricing and advise the contract pharmacy regarding billable rates for patient insurance providers.
Verify enrolled patient information monthly prior to placing factor orders and provide the HTC Medical Director with ongoing updates and monthly program activity reports.
Serve as liaison among patients, the contract pharmacy, pharmaceutical manufacturers, sponsored programs, the Office of Research Administration, and other university groups involved in patient issues, payer claims, and 340B program operations.
Coordinate 340B program activities with UM Finance, ORA, and Hemophilia of Georgia.
Manage and oversee all invoices related to the 340B Factor Program, ensuring timely processing and payment of invoices from pharmaceutical manufacturers. Serve as the primary liaison with University Medical Finance and Accounts Payable departments to facilitate prompt payment processing, resolve billing discrepancies, and maintain positive relationships with manufacturers and contract pharmacy partners.
Supervise one full-time employee providing secretarial support to HTC staff.
Supervise the database analyst responsible for maintaining regulatory compliance with federal guidelines and ATHN requirements, as well as the clinical research coordinator supporting studies benefiting pediatric and adult hemophilia patients.
Work with the HTC Outreach Coordinator to coordinate community outreach events, including approved expenses and team participation.
Oversee balances in the Gift Account and MCHB/340B/GRI accounts.
Process hiring requests for temporary and permanent employees, including resume review, candidate identification, interview coordination, selection, and onboarding support.
Perform other duties as assigned.
