As our Client Care & Bookkeeping Specialist, you'll be the first face people see when they walk through our doors, the first voice many clients hear when they call, and one of the last lines of accuracy before money moves. You'll Do Things Like…
Partner with the Office Manager to deliver a front office experience that reflects RTA's culture — welcoming, organized, and professional.
Welcome visitors, candidates, customers, and vendors with warmth and professionalism; answer and route incoming calls; manage mail and deliveries.
Serve as a first point of contact for inbound client calls and emails — answering questions, routing complex issues to the right team, and ensuring every client feels heard.
Log and track client inquiries to ensure timely resolution and nothing falls through the cracks.
Support clients navigating billing questions, payment options, and account status with patience and accuracy.
Process accounts receivable payments and remote deposits accurately and on time.
Perform collections, dunning, and other AR-related activities.
Provide seamless front office coverage during planned Office Manager absences.
Occasionally coordinate business travel — flights, hotels, rental cars, itineraries.
Support meetings, events, shipping/receiving, and administrative projects.
Identify and implement opportunities to improve workflows through automation, AI, and continuous improvement.

This Role Is NOT for You If…
You prefer to specialize in one thing. This seat is equal parts front desk, client care, and finance — if you want to do just one, this isn't it.
You need heavy structure and detailed direction to get started. We expect you to see what needs doing and do it.
You find small talk draining. A big part of this job is making people feel genuinely welcome, and that can't be faked.
You're uncomfortable with follow-up. Whether it's a collections call or a frustrated client email, you have to be willing to engage with both firmness and tact.
You want a fully remote or hybrid arrangement. This role is in-office, full-time, because it has to be.
Qualifications

Required:
High school diploma or equivalent.
2–4 years of bookkeeping, AR, accounting support, office administration, or similar experience.
Customer service or front desk experience, including handling inbound calls and emails from clients.
Proficiency with Microsoft 365 (Outlook, Excel, Word, Teams).
Excellent organization, communication, and attention to detail.
Preferred:
Associate's degree in Accounting, Business, or related field.
Accounting/ERP software experience.
Business travel coordination experience.
Remote deposit capture and online banking experience.
Experience improving processes through automation or AI tools.

Because this role supports our front office, it is not eligible for remote or hybrid work. This position is classified as non-exempt and is eligible for overtime pay.
