Executive Assistant

About the role:

The Executive Assistant is the principal point of contact for the Executive Director, supporting the effective management of their office through high-level administrative and coordination support.

You will work closely with the Executive Director and Principal Advisor to manage complex calendars, coordinate meetings and travel, and support the preparation of a broad range of written materials including briefs, reports, agenda papers, presentations and correspondence.

The role requires strong collaboration across the organisation to facilitate planning activities, coordinate meetings, track deliverables and ensure tasks are completed in line with organisational standards and timeframes.

Key Responsibilities:

• Manage the Executive Director’s mailbox, including coordinating incoming and outgoing correspondence
• Coordinate complex diary management, meetings and scheduling across internal and external stakeholders
• Arrange domestic and regional travel, including logistics and itineraries
• Manage expenses and financial administration requirements
• Provide administrative and project support, including document preparation, collation and records management
• Support the preparation of briefs, reports, presentations and other executive correspondence
• Assist with planning activities, tracking tasks and ensuring timely delivery of outcomes

About You:

To be successful in this role, you will demonstrate:

• Proven experience providing executive support in a fast-paced environment
• Strong organisational skills with the ability to manage competing priorities and tight deadlines
• High level attention to detail and a proactive, solutions-focused approach
• Excellent interpersonal and communication skills, with the ability to liaise with stakeholders at all levels
• Ability to work collaboratively in a small team while exercising sound judgement and autonomy
• Strong problem-solving skills with the ability to respond to stakeholder enquiries effectively
• Experience using Microsoft Office applications, including diary and calendar management
