Position Summary
The Surgical Coordinator Manager is responsible for leading, developing, and standardizing scheduling and referral operations across the WA market. This role ensures every referral is captured, every patient is scheduled efficiently, and every surgeon’s clinic is consistently filled with qualified evaluations. The primary objective is to drive business to surgeons by eliminating access barriers and creating a seamless patient journey from referral to clinic evaluation.
Roles and Responsibilities
Develop and execute strategies that increase clinic surgical evaluations and maximize surgeon utilization for the surgery center cases to prevent underutilization of cases per day. Standardize surgical scheduling templates, appointment types, and access protocols to ensure efficient, high-fill clinic schedules preventing missed surgical patients. Partner with clinic managers, call center, surgery centers, and physician leadership to ensure alignment on access, capacity, and patient flow. Lead, coach, and develop regional scheduling; set expectations, monitor KPIs, and ensure accountability. Implement processes that reduce leakage, improve referral-to-appointment conversion, and ensure timely follow-up on all pending referrals. Track, measure, and operationally communicate surgical scheduling metrics, access times, and surgeon fill rates; provide actionable insights to operational and physician leadership. Create and maintain regional SOPs for surgical scheduling, communication standards, and escalation pathways. Build strong partnerships with surgeons, clinic/ ASC leaders, and external sources to support growth and operational excellence. Ensure timely, compassionate, and efficient communication with patients throughout the scheduling and referral process. Effectively communicates and interacts with patients, their family, and other external and internal clients (including fellow employees) from diverse backgrounds. Supports initiatives designed to improve individual and organizational surgical scheduling performance ensuring no patient slips through the cracks. Other duties as assigned and operational initiatives by operations leadership.
Experience Requirements
3 years of surgery scheduling experience within a healthcare facility required. 2 years of leadership experience within a clinic or ambulatory surgery center required. Strong understanding of clinical access, patient flow, and schedules is preferred. Fundamental management skills of planning, organizing, facilitating, and coordinating. Ability to communicate effectively with organizational direct reports, managers, executives, physicians, and patients. Ability to use metrics to operationalize initiatives and drive strategy for operational efficiencies for process improvements pertaining to surgical scheduling and surgery utilization. Strong computer skills including MS Office Suites and EHR systems.
Education Requirements
High school diploma or GED required Associates degree in a relevant field preferred
