Full job description
ABOUT ELEMYNT
Elemynt is an AI software company helping scientific and engineering teams accelerate research, improve decision making, and bring new technologies to market.
We are a growing company working with leading organizations and experts across multiple industries. As Elemynt continues to expand, the CEO is seeking a strategic operator who can translate priorities into action and help drive execution across the business.
ROLE SUMMARY
The Chief of Staff will work directly with the CEO to drive execution across company operations, customer engagements, investor relations, hiring, finance, legal coordination, and internal communication.
This is a high trust, high context role. The right person will help the CEO stay focused on the most important decisions, ensure followthrough across the company, and create structure where things are moving fast.
This role is not primarily administrative. The Chief of Staff is expected to think, write, organize, challenge, follow up, and push important work to completion.
KEY RESPONSIBILITIES
CEO leverage and execution
Convert CEO priorities into clear actions, owners, timelines, and follow through.
Prepare the CEO for customer meetings, investor meetings, board discussions, internal reviews, and strategic decisions.
Track key commitments across customers, investors, advisors, legal counsel, finance, and the internal team.
Identify what is slipping, what needs escalation, and what can be delegated.
Company operating rhythm
Create and manage the company operating cadence, including leadership meetings, weekly priorities, customer follow ups, hiring updates, finance reviews, and board preparation.
Help maintain a clear view of the company’s most important objectives, risks, and open decisions.
Turn scattered inputs from meetings, emails, chats, and documents into structured action plans.
Ensure team members know what matters most and what needs to happen next.
Customer and commercial coordination
Support the CEO in preparing for high stakes customer discussions with semiconductor, energy, and advanced materials companies.
Help coordinate proposal preparation, POC scopes, pricing documents, meeting notes, follow up emails, and decision trackers.
Maintain a reliable view of active customer conversations, next steps, blockers, and commercial status.
Work with technical leads to translate complex product and scientific updates into customer ready materials.
Investor and board support
Assist with investor updates, fundraising materials, data room organization, board materials, and follow up from investor conversations.
Help maintain the company narrative, milestone tracker, pipeline summary, hiring plan, financial overview, and strategic priorities.
Coordinate with finance, legal, and external advisors when needed.
Ensure important context does not get lost between business, technical, legal, and finance conversations.
Build lightweight systems that make the company more organized without slowing it down.
Special projects
Own strategic and operational projects that do not clearly sit inside one function.
Examples may include entity structure coordination, vendor registration, investor diligence, policy setup, advisor onboarding, hiring processes, customer onboarding, office operations, or operating dashboards.
Drive projects independently from ambiguous starting points to concrete outcomes.
WHAT SUCCESS LOOKS LIKE
Within the first 30 days, you understand the CEO’s priorities, customer pipeline, investor context, company operating rhythm, and major open decisions.
Within the first 60 days, you are independently tracking key commitments, preparing meeting materials, improving followthrough, and reducing operational noise for the CEO.
Within the first 90 days, you are running a reliable operating system around the CEO and leadership team, with clear priorities, decision records, ownership, and execution discipline.
REQUIREMENTS
Strong judgment, discretion, and ability to handle confidential information.
Excellent written communication. You must be able to draft clear emails, memos, summaries, and decision notes.
Strong organizational ability. You can manage many moving pieces without losing details.
Ability to operate in ambiguity and create structure quickly.
Comfort working with technical, legal, finance, investor, and customer facing topics.
Ability to work across Singapore and United States time zones when needed.
High ownership mindset. You do not wait to be told every step.
PREFERRED BACKGROUND
Track record of success as a Chief of Staff (or equivalent role) at an early-stage startup
Previous working experience in deep tech, AI, enterprise software, advanced manufacturing, semiconductors, energy, or scientific computing is an absolute must
Familiarity with fundraising, board processes, customer proposals, POC execution, vendor registration, and company operations.
Ability to understand technical material quickly and convert it into structured business communication.
PERSONALITY FIT
You are calm under pressure.
You are direct but diplomatic.
You are precise with details.
You can push people without creating unnecessary friction.
You are comfortable telling the CEO what is missing, unclear, or not being followed through.
You care about making the company sharper, faster, and more disciplined.
We form enduring partnerships with exceptional entrepreneurs.
