We are currently seeking an engaged and passionate professional to serve as Facilities Manager to various TREK properties. The Facilities Manager is responsible for keeping HVAC and mechanical systems running reliably, owns every HVAC and mechanical system contract that supports them, and serves as the escalation point when site maintenance teams can't resolve an HVAC or mechanical issue. The Facilities Manager also owns life safety compliance portfolio-wide — inspection and testing schedules, vendor management, and corrective action — and trains site maintenance technicians on HVAC, mechanical, and life safety systems so issues get resolved at the source whenever possible. The Facilities Manager partners with Regional Managers to execute Trek's facilities standards at the property level and manages capital projects within the portfolio. This role reports to the Director of Facilities & Capital Strategy and helps extend the Facilities & Capital Strategy department's standards into day-to-day execution.
Under the direction of the Director of Facilities & Capital Strategy, the Facilities Manager is responsible for HVAC and mechanical system performance, life safety compliance, and facilities condition across specified portfolio.
Essential Functions:
Own all HVAC and mechanical system contracts across the portfolio — PM schedules, service agreements, renewals, and vendor performance (e.g., boilers, chillers, pumps, and related mechanical equipment).
Own the HVAC preventative maintenance program — confirm PM is scheduled, completed, and documented at every property.
Perform HVAC PM directly where appropriate; manage third-party HVAC and mechanical PM vendors for work outside personal capacity or certification.
Serve as the first point of contact when site maintenance teams cannot resolve an HVAC or mechanical issue.
Approve HVAC and mechanical service calls and invoices within established authority limits.
Accountable for HVAC and mechanical systems operating reliably across the portfolio.
Flag underperforming vendors to the Director of Facilities for review.
Own life safety compliance across the portfolio — fire alarm, sprinkler, fire extinguisher, elevator, generator, and related systems.
Build and maintain the inspection and testing schedule for every property; confirm each inspection is completed and documented on time.
Manage life safety vendor relationships — scope of work, performance, pricing, and response time.
Own corrective action on any life safety deficiency — scope the fix, engage the vendor, and confirm resolution.
Keep Regional Managers informed of life safety status and risk at their properties; escalate to the Director of Facilities on any compliance exposure.
Train site maintenance technicians on HVAC and mechanical systems — troubleshooting, PM tasks, and safe operation.
Build and maintain training materials and job aids for HVAC, mechanical, and life safety systems used across the portfolio.
Confirm every maintenance technician knows escalation criteria — what to try on site before an HVAC or mechanical issue comes to this role.
Onboard new maintenance technicians on portfolio-specific systems within their first 90 days.
Monitor facilities condition across the portfolio against Trek's facilities standards.
Partner with Regional Managers to execute facilities standards at the property level — walk properties, identify deficiencies, and drive resolution.
Escalate facilities risks or capital needs to the Director of Facilities.
Manage operations of the trash room at Eighth & Penn — vendor coordination, service schedule, cleanliness, and issue resolution.
Manage capital projects within the assigned portfolio from scope through completion — budget, schedule, vendor coordination, and quality control.
Coordinate with the Director of Facilities on capital plan priorities and owner-approved budgets.
Other duties as assigned.
Education & Experience:
3+ years of experience in HVAC maintenance, building systems, or facilities management (multifamily or commercial preferred)Working knowledge of HVAC systems, controls, and preventative maintenance best practices
Experience managing vendor contracts and holding vendors accountable to performance standards
Strong communicator, comfortable working directly with Regional Managers and site teams
Experience training or mentoring maintenance staff preferred
Knowledge of VRF and Water Source Heath pump loop systems preferred
Physical Demands & Work Environment:
Valid driver's license and ability to travel regularly across the assigned portfolio
Ability to lift 50 pounds, work in mechanical rooms and on rooftops, and respond to after-hours emergencies as needed
