The Coordinator of Operations provides day-to-day operational leadership for Penn Campus Recreation's recreation facilities, including Pottruck Health & Fitness Center, Fox Fitness Center, and Sheerr Pool. Reporting to the Associate Director of Operations, this position is responsible for frontline staff supervision and development, building operations management, fitness equipment oversight, risk management, and the operational systems and reporting that ensure safe, high-quality facility experiences for the Penn community. The Coordinator contributes to the continuous improvement of facility policies, procedures, and service standards that support the department's operational goals. Schedule includes mornings, evenings, and weekends as required.

Job Responsibilities
Facility Operations & Building Management: Provide daily operational oversight of all Campus Recreation facilities (Pottruck Health & Fitness Center, Fox Fitness Center, and Sheerr Pool). Manage opening and closing procedures, enforce facility policies, conduct routine building walkthroughs, submit and track work orders, and ensure all spaces are safe, clean, and operationally ready. Fill in as building supervisor across locations as needed.
Staff Supervision & Development: Lead the recruitment, hiring, onboarding, scheduling, training, and ongoing evaluation of operations staff. Develop and implement a structured staff development program emphasizing customer service, policy enforcement, and operational competency. Conduct situational drills, performance check-ins, and skills assessments to maintain a high-performing, professional operations team.
Fitness Equipment & Inventory Management: Oversee the maintenance, cleaning, safety inspection, and lifecycle tracking of 250+ pieces of fitness equipment across multiple facility locations. Maintain an up-to-date inventory database, coordinate equipment repairs with vendors, and make recommendations for equipment replacement or repositioning based on usage data and member needs. Maintain and purchase rental equipment.
Emergency Response & Risk Management Support: Serve as the on-shift first responder for medical emergencies and facility incidents across all recreation locations. Implement established Emergency Action Plans (EAPs) and risk management procedures as developed and maintained by the Coordinator of Aquatics & Safety. Conduct routine building walkthroughs to monitor signage, AED/first aid supply levels, and general safety conditions, and communicate findings to appropriate staff. Maintain personal ARC CPR/AED certifications in compliance with departmental standards.
Technology, Data & Reporting: Utilize Fusion recreation management software to manage staff scheduling, program enrollment, and point-of-sale operations. Generate and maintain required operational reports, including facility usage data, equipment status logs, and incident documentation. Support the Associate Director of Operations in developing systems that enable data-driven operational decision-making.
Policy, Procedures & Continuous Improvement: Assist in the development, review, and implementation of Campus Recreation operational policies and procedures. Identify opportunities to improve service delivery, staff efficiency, and facility quality. Serve as the primary operational point of contact for facility scheduling and space reservation requests from program coordinators, including coordinating practice times and event space with the Coordinator of Competitive Sports and other program staff. Contribute to departmental planning processes and support the Associate Director of Operations' strategic priorities.

Qualifications
Bachelor of Science and 2 to 3 years of experience or equivalent combination of education and experience is required.
ARC CPR/AED for Professional Rescuer (required within 30 days).
Experience in recreation, fitness, athletics, or facility operations a plus.
Proven ability to lead and develop student or frontline staff preferred.
Familiarity with risk management and emergency response practices also preferred.
Strong technology skills, including scheduling and operational software.
