As the first point of contact for our prestigious Huntsville client, you'll be the welcoming face that sets the tone for every visitor's experience. This essential role combines professional reception services with facilities coordination, creating a seamless environment where security meets exceptional hospitality. You'll manage visitor access, support facility operations, and deliver the white-glove service that defines JLL's commitment to excellence. This is more than answering phones, t's about being a trusted partner in maintaining a secure, efficient, and welcoming workplace that reflects our client's standards and JLL's reputation for operational excellence.
Your day begins at 7:30 AM, where you'll greet guests and employees with professionalism and warmth while executing critical security protocols. You'll vet US citizens, create and issue visitor badges for contractors and guests, ensuring every entry point maintains the highest security standards. Throughout the day, you'll coordinate conference room scheduling, respond to facility-related requests, and create service tickets in Corrigo for building maintenance issues. You'll maintain essential documentation including building contact lists and the Concierge Playbook, ensuring procedures stay current and accessible. As a liaison between visitors, employees, and the JLL Facility Management team, you'll juggle multiple priorities simultaneously while tracking your daily work volume. You'll support various facility-related tasks as they arise, adapting to the dynamic needs of this fast-paced environment. Your workday typically concludes at 4:00 PM, with flexibility to work overtime when operational needs require additional support.
Minimum 5 years of receptionist or administrative experience in a professional environment
High School diploma or equivalent certification
Proven ability to work effectively in high-volume, fast-paced, rapidly changing environments
Demonstrated excellence in customer service with professional communication skills, both verbal and written
Proficiency with Microsoft Office Suite, Outlook, and Microsoft Teams
Physical capability to sit for extended periods, climb stairs, and lift up to 25 lbs
Strong organizational skills with ability to manage multiple concurrent tasks with minimal supervision
Associate degree or completed college coursework in business administration or related field
Experience with security badging systems and visitor management protocols
Familiarity with facility management software, particularly Corrigo or similar ticketing systems
Previous experience supporting corporate or government facilities with enhanced security requirements
Background in conference room booking systems and calendar management for executive teams
Experience maintaining procedural documentation and standard operating procedures
Track record of exercising sound judgment in decision-making and appropriate issue escalation to leadership
Schedule: (Monday-Friday, 7:30 AM - 4:00 PM with overtime flexibility)
