Position Summary
The Facilities Manageris responsible forthe daily management, maintenance, safety, and operational readiness of all Casa Esperanza, Inc.facilitiesand affiliated properties. This position ensures all buildings, grounds, mechanical systems, and equipment aremaintainedin a safe, clean, compliant, and functional condition that supports the organization's mission and provides a safe environment for patients, staff, visitors, and community partners.
Working under the direction of the Director of Operations, the Facilities Manager oversees preventive and corrective maintenance programs, supervises facilities staff and contractors, coordinates vendor services,manages work ordersand inventory tracking, and ensures compliance with all applicable regulatory and safety requirements. This positionsupports capital improvement projects, emergency preparedness initiatives, operational planning, and continuous improvement efforts to ensure Casa Esperanza's facilitiesremainsafe, efficient, and fully operational
Key Responsibilities
Facilities Operations
Manage the daily operations and maintenance of all Casa Esperanza and affiliated facilities.
Oversee preventive, predictive, and corrective maintenance programs for buildings, grounds, mechanical systems, and equipment.
Ensure all facilitiesremainsafe, operational, and compliant with applicable federal, state, local, licensing, accreditation, and funding requirements.
Conduct routine inspections of buildings, grounds, and equipment toidentifymaintenance needs, safety concerns, and opportunities for improvement.
Coordinate and prioritize maintenance requests through the organization's computerized maintenance management system (CMMS).
Ensuretimelycompletion and documentation of all work orders.
Coordinate emergency repairsutilizingin-house staff and outside contractors.
Perform or oversee minor repairs involving plumbing, electrical, carpentry, painting, flooring, doors, hardware, and general building maintenance.
Ensure building systems—including HVAC, plumbing, electrical, elevators, automatic doors, fire alarms, surveillance systems, security alarms, panic buttons, and access control systems—remain fully operational.
Safety, Compliance, and Emergency Preparedness
Ensure compliance with OSHA, the Department of Public Health, licensing agencies, funding sources, fire safety regulations, and applicable building codes.
Conduct and document monthly fire drills and coordinate routine testing of fire protection and life safety systems.
Participate in emergency preparedness, business continuity, and disaster response activities under the direction of the Director of Operations.
Support infection control initiatives by ensuring environmental cleaning standards, sanitation protocols, and facility safety requirements are consistentlymaintained.
Identifyand mitigate facility-related risks before theyimpactoperations.
Quality Assurance
Conduct routine quality inspections of buildings, mechanical systems, safety equipment, grounds, and vehicles.
Develop and implement corrective action plans to address deficiencies and improve operational performance.
Maintainaccuratemaintenance records, inspection logs, vendor documentation, warranties, and regulatory reports.
Promote continuous improvement byidentifyingopportunities to improve safety, quality, efficiency, and cost-effectiveness.
Vendor and Project Management
Coordinate outside contractors and vendors performing maintenance, inspections, repairs, and facility improvement projects.
Monitor contractor performance to ensure quality workmanship,timelycompletion, and compliance with organizational standards.
Obtain quotes and coordinatepurchasingof maintenance materials, supplies, and equipment.
Assist the Director of Operations in planning, coordinating, and executing facility renovation, maintenance, and improvement projects.
Monitor project schedules, budgets, and completion timelines.
Administrative Responsibilities
Maintain the organization's computerized maintenance management system (MicroMainor equivalent).
Prepare routine reports on work order completion, preventive maintenance activities, regulatory compliance, and facility issues for the Director of Operations.
Maintain inventories ofmaintenanceand programsuppliesin storage, equipment, and replacement parts.
Participate in the on-call rotation and respond to after-hours facility emergencies as needed.
During emergency operations,mayberequiredto report to work or remain on-site until emergency conditions have stabilized.
Adhere to all organizational policies, procedures, and standards of conduct.
Leadership and Supervision
Supervise Facilities Specialists, Custodians, and contracted maintenance personnel.
Assign and prioritize daily work assignments andmonitorcompletion of maintenance activities.
Coach, train, mentor, and evaluatefacilitiesstaff.
Foster a culture of accountability, teamwork, safety, customer service, and continuous improvement.
Ensureappropriate staffingcoverage for daily operations and emergency maintenanceresponse.
Collaborate with the Director of Operations to prioritize facility maintenance, operational initiatives, andcapital improvement projects.
Maintaincommunication withthe development team around fundraising for capital needs.
Perform other duties as assigned
Qualifications
Required
High School Diploma or equivalent required.
Associate'sdegree in Facilities Management, Construction Management, Engineering, Business Administration, ora relatedfield preferred.
Minimum of three (3) to five (5) years of progressively responsible facilities maintenance experience.
Minimum of two (2) years of supervisory experience preferred.
Working knowledge of HVAC, plumbing, electrical, carpentry, mechanical systems, life safety systems, security systems, and general building operations.
Experience with computerized maintenance management systems (CMMS) and Microsoft Office applications.
Valid driver's license with reliable transportation.
Strong leadership, organizational, communication, and problem-solving skills.
Ability to manage multiple priorities in a fast-paced healthcare or human services environment.
Ability tomaintainconfidentiality and exercise sound judgment.
Ability to work independently while effectively leading and coordinating the work of others.
Physical Requirements
Frequently walk, stand, climb stairs and ladders, kneel, bend, stoop, crouch, reach, and perform physical labor throughout the workday.
Lift and move up to 50 pounds with or without reasonable accommodation.
Safelyoperatehand tools, power tools, ladders, and maintenance equipment.
Work indoors and outdoors in varying weather conditions.
Travel regularly between Casa Esperanza locations.

Residential Recovery: Casa Esperanza's Men’s Program serves 29 adult men and Latinas y Niños serves 20 adult women and can also house up to 12 of children age ten or younger so clients in recovery may maintain or regain custody while still in treatment. Residential services usually last six to twelve months and offer evidence-based treatment methodologies as well as assisting clients with setting long-term goals for maintaining their recovery as they transition to independent living.
Structured Outpatient Addictions Program (SOAP): Familias Unidas Outpatient Services is a licensed, CARF-accredited clinic that provides client-centered, integrated services to support the complex, long-term needs of people with co-occurring disorders. Familias is co-located with primary care services and is the only Spanish-language SOAP in Greater Boston.
Supportive Housing: Nueva Vida provides15 single-occupancy units, Dunmore Place & 300 Eustis Street provides eight family units, and Nueva Esperanza provides 14 individual studio units for a total of 37 units of permanent safe, sober housing for individuals and families, with on-site support for maintaining recovery and building independent living skills.
Clinical Stabilization: Conexiones is a structured 24-hour inpatient clinical stabilization program for individuals early in their recovery which includes nursing care, individual and group therapy, psycho-educational groups, case management, health education, and aftercare planning.
