We are seeking a highly capable, proactive, and business-minded Senior Executive Administrator to serve as a trusted partner to the Chief Legal Officer (CLO) and Legal Leadership Team. This role is ideal for an experienced professional who combines exceptional organizational capability with strong judgement, logical thinking, independent decision-making, and outstanding stakeholder management skills. The successful candidate will provide comprehensive support to the CLO while coordinating executive priorities, governance activities, special projects, and executive communications.
The Senior Executive Administrator will operate with a high degree of autonomy, anticipating needs, solving problems proactively, and ensuring the smooth and efficient operation of the Legal function. This is more than a traditional administrative role; it is a strategic support position that requires business acumen, professionalism, discretion, and a commitment to delivering exceptional service.
\nKey Responsibilities:
Executive Support to the Chief Legal Officer
Manage a highly complex and dynamic calendar, balancing competing priorities and ensuring alignment with business objectives.
Manage domestic and international travel, including itineraries, logistics, accommodations, visas, and expense reporting.
Own and prepare agendas, briefing materials, presentations, reports, and meeting documentation for leadership meetings and key stakeholder engagements.
Anticipate upcoming priorities and proactively address scheduling conflicts, operational issues, and administrative challenges.
Act as a primary point of contact for internal and external stakeholders on behalf of the CLO’s office
Act as a trusted way maker and representative of the Chief Legal Officer's office.
Legal Operations & Governance Support
Manage, in conjunction with the CLO, the coordination of Board and Board Committee activities, including logistics, materials preparation, scheduling, and follow-up actions.
Create and own action trackers and monitor progress against legal and corporate governance commitments.
Manage and coordinate legal leadership meetings, departmental offsites, budgets and strategic planning activities.
Owndocument management, approvals, records, and administrative processes that support the effectiveness of the Legal function.
Partner with internal stakeholders to ensure timely completion of deliverables and commitments, proactively addressing issues as they arise.
Project & Business Support
Independently manage operational and administrative projects on behalf of the CLO.
Coordinate cross-functional initiatives involving Legal, Human Resources, Finance, Facilities, Tech Groups, Commercial and Executive Leadership.
Own and track milestones, dependencies, risks, and actions to ensure successful delivery of key initiatives.
Manage and create reporting, presentations, and business materials suitable for executive and Board-level audiences.
Identify opportunities and implement new practices to streamline processes and improve operational efficiency.
Stakeholder Management & Customer Care
Serve as a key point of contact for senior leaders, external counsel, Board members, regulators, and strategic partners.
Build trusted relationships across the organization and provide a high level of customer service and responsiveness.
Exercise exceptional judgement when handling confidential, sensitive, and complex matters.
Communicate professionally and effectively with stakeholders at all levels of the organization.
Communication & Executive Coordination
Create, draft, and edit executive correspondence, presentations, reports, and business communications.
Develop and prepare briefing materials and background information to support executive decision-making.
Ensure information flows efficiently between the CLO, Legal Leadership Team, and key business stakeholders.
Support leadership communications and strategic initiatives as required.
YOU MUST HAVE:
Bachelor’s Degree minimum
8+ years of experience supporting a Chief Legal Officer, General Counsel, Corporate Secretary, or other C-suite executive.
Due to Contractual requirements, must be a U.S. Person defined as, U.S. citizen permanent resident or green card holder, workers granted asylum or refugee status.
Due to national security requirements imposed by the U.S. Government, candidates for this position must not be a People's Republic of China national or Russian national unless the candidate is also a U.S. citizen.
WE VALUE:
Experience working within a publicly traded company, preferably during periods of rapid growth, transformation, or post-IPO scaling.
Demonstrated experience supporting Board of Directors activities and executive governance processes.
Demonstrated ability to serve as a trusted partner to the Chief Legal Officer, anticipating needs, exercising sound judgment, and operating with discretion and autonomy.
Experienced of working across time zones, and flexibility to meet the business needs.
Excellent written and verbal communication skills, with the ability to draft and refine executive-level communications and engage effectively with Board members, senior leaders, and other key stakeholders.
Excellent judgment, logical thinking, analytical ability, and problem-solving capability.
Advanced proficiency in Microsoft Office, including Outlook, PowerPoint, Word, Teams, and Excel.
Ability to manage highly confidential information with absolute discretion.
Proven ability to manage multiple priorities within a fast-paced, global business environment.
Exceptional stakeholder management and customer service skills.
Experience operating in a technology, deep technology, engineering, semiconductor, AI, quantum computing, aerospace, advanced manufacturing, or similar innovation-driven environment.
Experience working with globally distributed leadership teams.
Strong project management and coordination skills.

Compensation & Benefits:
The pay range for this role is $80,000 - $135,000 annually. Actual compensation within this range may vary based on the candidate's skills, educational background, professional experience, and unique qualifications for the role.
