The Operations Specialist ensures the efficiency and safety of on-water and land-based operations, focusing on fleet maintenance and AV system readiness. This includes managing fuel logistics, performing mechanical diagnostics on coaching launches, and maintaining boathouse equipment.
Candidates need proven experience in operations or marine logistics with technical aptitude in AV systems and outboard motor repair. Practical knowledge of rowing boat rigging and a strong commitment to safety protocols are required.
Position Overview
The Operations Specialist is a foundational, hands-on role responsible for ensuring operational efficiency, equipment readiness, and safety across on-water and land-based operations at Community Rowing. Reporting to the Director of Operations, this role serves as a central operational link within the boathouse. The Operations Specialist functions as critical liaison for equipment maintenance, keeps physical inventories organized, directly focuses on the safety readiness of CRI's coaching launch fleet, and oversees the functionality of the boathouse's audio-visual presentation systems.
Key Responsibilities:
Fleet Preventative Maintenance: Manage regular, methodical maintenance for CRI’s fleet of wakeless and flat-bottom coaching launches, including:
Critical Launch Diagnostics: Actively check the online launch and repair logs to track essential functions of CRI’s launch fleet - especially including, navigational lighting, oil levels, and smooth engine and steering functions. Diagnose mechanical trends, and address recurring defects with the Director of Operations before they impact daily water operations.
This includes:
Weekly navigational light testing and repair with a goal of 100% operational functionality every week of the rowing season.
Weekly Oil Level logging and record keeping of checks
Monthly outboard motor propeller checks, and tank/hose integrity testing (see below for Weekly Dashboard reporting).
Safety Equipment Compliance: Ensure 100% of active launches are rigorously stocked with required emergency kits, PFD bags, thermal blankets, functioning navigation lights, and safety tow lines.
Fuel & Logistics:
Gas Can Resupply: Execute the routine refilling, transport, and staging of resupply gas cans to ensure the coaching launch fleet is continuously fueled and ready ahead of all practice sessions. Goal is to maintain 75% filler tank inventory at all times during the on-water seasons
Gas Cabinet Management: Maintain zero fault compliance in the gas room including an exceptionally clean, organized, and safety-compliant flammable liquid storage cabinet. Ensure all cans are properly sealed, ventilated, and segregated according to fire safety protocols.
Tracking: Closely monitor bulk fuel reserves, track consumption trends over time to flag anomalies or tank leaks, and strictly enforce hazardous material handling protocols during transfers. (see below for Weekly Dashboard reporting).
CRI Fueling Station
Snack Bar Resupply: Complete the routine refilling, transport, and staging of snack bars to ensure the station is continuously stocked. Goal is to maintain 75% full status of the fueling station at all times.
Maintain an exceptionally clean and organized area where the bars are distributed
Closely monitor and track consumption trends over time to identify trends and CRI’s overall commitment to this initiative. (see below for Weekly Dashboard reporting).
Audio-Visual & Presentation Systems Management
System Monitoring & Upkeep: Manage and monitor all CRI audio-visual equipment to guarantee 100% operational readiness at all times for daily staff operations, community programs, and private events.
Facility Sound Systems: Maintain all public address and sound equipment integrated within key event spaces, including the Community Room and the 1980 Room.
Display & Projection Equipment: Oversee the alignment, connection stability, bulb life, and daily functionality of the overhead projectors located in both the Community Room and the 1980 Room.
Technical Troubleshooting: Provide immediate, hands-on troubleshooting support for presenters, coaches, and guest users experiencing connectivity or hardware issues during events.
General Equipment Management
Shell & Rigging Maintenance: Support non-composite shell repairs within the goal of 24 hour turnaround, confirm daily that all 100% of all boats and, especially oars, are properly labeled and stored in their designated racks, and update the equipment log to reflect real-time status. Complete minor fixes like basic rigging and oar adjustments within 24 hours. Respond to all repair log submissions with completion status (reach the person who submitted the log, and inform them of completion)
Facility Support: Support the overall shop organization, ensure safety backups (like facility first-aid bags) are fully stocked, and assist with seasonal snow removal around the parking lot and facility.
Operations & Recordkeeping
System Documentation: Draft, update and maintain, step-by-step operating guidelines for recurring facility and electronic systems (e.g., AV systems or launch safety equipment logs, launch motor operations, etc) to a centralized knowledge base.
Feedback Loops: Partner with the training and coaching onboarding teams to relay operational observations, identifying common tracking or equipment-handling issues that arise during normal boathouse functioning.
Weekly Dashboard: Deliver a concise weekly operational report to the Director of Operations detailing fleet health percentages, navigational light functionality, motor oil levels, fuel consumption metrics, snack inventory, and any critical, pending operational needs in the purview of this position.
Required Skills & Qualifications
Proven experience in an operations coordination, facilities management, marine logistics, or relevant hands-on role.
Technical & AV Aptitude: Solid familiarity setting up, troubleshooting, and managing modern audio-visual equipment (soundboards, overhead projectors, HDMI/wireless presentation systems).
Trade Skills: Working knowledge of trades like outboard motor repair and maintenance, light electrical, composite work, or carpentry to directly service watercraft.
Boating Knowledge: Practical ability to rig various classes of sweep and sculling boats; familiarity with small powerboat operations and safety constraints.
Communication and Documentation: Strong verbal and written communication skills to effectively report mechanical statuses and coordinate across a fast-paced environment.
