Position Overview
The Intake Representative plays a critical role in supporting the sales team by managing administrative, operational, and process-driven tasks throughout the sales lifecycle. This position ensures timely and accurate proposal creation, maintains sales tracking systems, and supports onboarding and implementation processes for new clients.
The ideal candidate is highly organised, detail-oriented, and adaptable to fluctuating workloads. This individual must demonstrate strong time management, clear communication, and a proactive approach to supporting both the sales team and the Sales Manager.
Working Hours
Monday - Friday 17:00-02:00 SAST (this role is supporting US Pacific Time)
Salary
R13 500 with an attendance bonus
Key Responsibilities
Sales Support & Proposal Management
Create and prepare professional, accurate sales proposals promptly
Collaborate with the sales team to gather necessary information for proposal development
Ensure all proposal materials meet internal standards and client expectations
Sales Tracking & Reporting
Maintain and update sales activity and pipeline tracking using Smartsheets
Monitor and report on key sales metrics as requested by the Sales Manager
Ensure data accuracy and consistency across tracking systems
Broker of Record (BOR) Process Support
Manage and execute the Broker of Record (BOR) process when clients transition brokers
Coordinate with internal and external parties to ensure smooth transitions
Maintain documentation and ensure compliance with BOR procedures
Client Implementation & Onboarding
Review submitted group information for completeness and accuracy
Support implementation processes for new clients by following established workflows
Partner with internal teams to ensure seamless onboarding experiences
Operational & Administrative Support
Assist with miscellaneous projects and process improvements to support the sales team
Provide administrative and coordination support to the Sales Manager as needed
Help maintain organised records and documentation for all sales activities
Required Skills & Experience
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
Experience working with tracking or project management tools (Smartsheet preferred)
Strong attention to detail and organisational skills
Excellent written and verbal communication skills
Ability to manage multiple tasks in a fast-paced environment
Preferred Qualifications
Prior experience supporting a sales team or working in a sales operations role
Experience in insurance, benefits, or related industries
