Your Mission

Office & facilities

• Keep the office stocked and well-run: order supplies, materials and stationery, and manage inventory
• Handle the fun bits too, from fresh fruit to the little things that make the office a nice place to be
• Prepare and set up meeting rooms; ensure they're ready for internal meetings and client visits
• Be the point of contact for building and facilities matters, and liaise with suppliers and service providers

Reception & front-of-house

• Welcome visitors, clients and candidates, and make sure they have a great first impression
• Answer and route incoming calls, and manage general enquiries by phone and email

Documents & records

• Organize, classify and archive digital and paper documents
• Maintain filing systems so information is easy to find and properly kept

Corporate Services support

• Support the Administration, Finance and HR functions with recurring admin tasks
• Help with document preparation, data entry, and ad-hoc coordination as needed
• Pitch in on internal projects, events and initiatives

Your Profile & Skills

• A first experience in an administrative, reception or office support role — or genuine motivation to learn
• Well-organised, reliable and proactive: you like things tidy and you spot what needs doing before being asked
• A warm, professional manner with people at all levels
• Comfortable with Microsoft Office (Outlook, Word, Excel)
• Fluent in French and English
• Discretion and good judgement when handling confidential information
