Fleet Administration Executive Location: Milton Keynes – Hybrid Working Salary: Up to £24,000 per annum Hours: Monday to Friday
Helping every journey run smoothly
At ROI, we're helping shape the future of fleet by combining people, technology and industry expertise to solve complex challenges for some of the biggest names in automotive. As the UK's leading automotive support agency, we partner with over 70% of automotive brands, delivering customer engagement, technology, insight and marketing solutions that drive measurable results.
As we continue to grow, we're looking for a Fleet Administration Executive to join our team supporting one of our long-standing automotive partners.
If you're someone who enjoys staying organised, thrives in a fast-paced environment and takes pride in delivering exceptional customer service, this is an opportunity to make a genuine impact. Every quote you generate, every order you process and every customer you support helps keep vehicles moving and strengthens the relationships we build with our clients.
The role
As a Fleet Administration Executive, you'll provide vital administrative support throughout the customer journey, ensuring every vehicle order is managed accurately and efficiently from initial enquiry through to delivery.
Working as part of a collaborative, high-performing team, you'll take ownership of key administrative processes, supporting customers, retailers and internal stakeholders while ensuring every interaction reflects the high standards our clients expect.
This is a varied and fast-paced role where you'll balance multiple priorities, maintain exceptional attention to detail and ensure compliance with both internal processes and industry regulations.
No two days are the same, so we're looking for someone who enjoys solving problems, communicating confidently and delivering a first-class customer experience.
What you'll be doing
Responding to inbound fleet enquiries from customers and stakeholders.
Preparing accurate vehicle quotes and processing customer orders in line with client processes.
Managing customer orders from placement through to registration and vehicle delivery.
Maintaining accurate customer records and updating CRM systems with order progress and customer information.
Preparing reports and interpreting customer data using Microsoft Excel.
Liaising with customers, retailers and internal departments to ensure a smooth customer journey.
Managing customer expectations and providing regular updates throughout the order process.
Ensuring compliance with relevant legislation, industry regulations and internal quality standards.
Continuously looking for opportunities to improve processes and contribute to operational excellence.
What we're looking for
We're looking for people who combine strong organisation with a proactive mindset and enjoy delivering outstanding customer service.
You'll ideally have:
Experience in administration, customer service or fleet support.
Excellent written and verbal communication skills.
Strong organisational skills with excellent attention to detail.
Confidence using Microsoft Office, particularly Excel, alongside CRM or database systems.
A proactive approach to problem-solving and managing competing priorities.
The ability to work independently while contributing positively within a team.
A collaborative mindset with a willingness to support colleagues and build strong working relationships.
A desire to learn, adapt and continuously improve.
Automotive or fleet industry experience would be an advantage but isn't essential.
What you'll get in return
We believe great people deserve a great experience too.
Our benefits include:
£500 annual Health & Wellbeing Allowance to spend on your physical or mental wellbeing.
Hybrid working following your training period.
Team social events and charity days.
Free parking when you're in the office.
Access to Education Bursaries to support your personal and professional development.
Company pension scheme with employer contributions.
Continuous training and development with genuine opportunities to progress your career.
22 days annual leave plus bank holidays, increasing with service, along with three Flexidays after one year's service.
A day off on your birthday, plus a birthday voucher.
Why ROI?
At ROI, you'll have the opportunity to do meaningful work that makes a visible difference. You'll be trusted to take ownership, supported by experienced colleagues who value collaboration over ego, and encouraged to keep learning as technology continues to transform our industry.
We're building teams that embrace curiosity, adaptability and continuous improvement, creating rewarding careers in a business that's helping shape the future of fleet.
If you're looking for a role where your work has real impact, your contribution is recognised and your career can continue to grow, we'd love to hear from you.
ROI Automotive brings fleets, OEMs, leasing companies and retailers into one connected platform, powering fleet sales.
Fleet buying today is slow and disconnected, making it harder for fleets to buy and more costly for OEMs to serve. ROI replaces this with a connected fleet sales platform combining technology, data, marketing and specialist human teams so fleets can engage easily with suppliers to make faster, more confident buying decisions, and OEMs and partners manage demand, conversion and retention, creating a more predictable way to grow fleet sales.
Our platform includes industry infrastructure such as Fleet Gateway and Leasing Portal, enabling real-time access to agreements and critical sales content, supporting confident purchasing decisions across the ecosystem.
We’re building the infrastructure behind the future of fleet, connecting over 1,400 fleets, 48 leasing companies, 30 passenger car OEMs, 7 commercial vehicle OEMs and more than 500 retailers across 11 countries.
When fleet sales performance improves, it becomes easier for fleets to buy and for OEMs and leasing companies to sell.
When fleets win, the whole industry wins.
