TỔNG QUAN / JOB SUMMARY:

Quản lý tòa nhà chịu trách nhiệm đối với các công tác điều hành hàng ngày nhằm hỗ trợ cho dự án, chỉ đạo và hoạch định các biện pháp quản lý hiệu quả, cung cấp các dịch vụ cho dự án / Property Manager will be overall responsible for the day-to-day operations of the project to plan, guide and support the project toward success by efficient management, well services provided.

TRÁCH NHIỆM CÔNG VIỆC / RESPONSIBILITIES:

1. Xây dựng hệ thống quản lý / Management system setting up
2. Xây dựng ngân sách giai đoạn tiền khai trương và ngân sách vận hành / Set up the pre-opening budget & operations budget.
3. Xây dựng sơ đồ tổ chức và bản mô tả công việc cho vị trí PM và các vị trí vận hành khác / Build up the organization chart and job descriptions for the Property Manager and all operational staffs.
4. Xây dựng sổ tay cư dân và sổ tay hướng dẫn thi công trang trí nội thất / Establish resident’s handbook and fit-out guidance book.
5. Xây dựng các biểu mẫu chuẩn, chuẩn bị cho các báo cáo: báo cáo vận hành, báo cáo doanh thu, báo cáo tình hình hoạt động, lên kế hoạch hoạt động theo kì... / Set up standard templates and prepare for reports including operational report, profit & loss statement, periodical operation plan, etc.
6. Xây dựng quy trình chuẩn cho nhân viên Ban quản lý và các nhà thầu phụ / Set up standard working procedures for staffs and sub-contractors.
7. Chọn và giám sát các nhà thầu phụ: nhà thầu bảo trì điện, dịch vụ an ninh, diệt côn trùng, nhà thầu chăm sóc cây cảnh, dịch vụ vệ sinh, và dịch vụ vệ sinh mặt ngoài tòa nhà.. / Select and monitor sub-contractors such as M&E maintenance, security service, pest control, gardening & landscaping, janitorial service, etc.
8. Hỗ trợ Chủ đầu tư trong công tác nhận bàn giao công trình và cung cấp các tài liệu cho liên quan trong quá trình bàn giao / Assist developer in handover process of the project and provide related documents.
9. Quản lý vận hành / Operation management
10. Đảm bảo công tác quản lý và vận hành tuân theo quy trình chuẩn của Savills / Implement all operational systems and procedures in accordance with the Company’s Operational Procedures.
11. Duy trì sự phát triển ở mức cao nhất / Maintain the development to the highest standards.
12. Đảm bảo hệ thống máy móc và thiết bị luôn hoạt động hiệu quả / Ensure smooth operation of all plant and equipment.
13. Đảm bảo quá trình vận hành và bảo trì được thực hiện đúng từ trong ra ngoài và không trái với các quy định của pháp luật / Ensure that all operations and maintenance must be undertaken correctly and legally.
14. Yêu cầu thiết lập các quy định về sức khỏe và an toàn / Take responsible in establishing rules/regulations regarding health & safety.
15. Đảm bảo tất cả các quy trình vận hành và bảo trì phải theo chủ trương và sự đồng ý của Chủ đầu tư cũng như nhà thầu của Chủ đầu tư / Ensure that all operations and maintenance must be undertaken in accordance with the policies and agreement of developer and their contractors.
16. Thông qua lịch bảo trì hệ thống, và lịch này phải được cập nhật trong báo cáo tháng / Confirm maintenance schedule, which must be included in the monthly report.
17. Phối hợp cùng Kỹ sư trưởng đ ảm bảo công tác giám sát nhân viên bảo trì và các nhà thầu được hiệu quả/ Coordinate with Chief Engineer to ensure effective supervision of technicians and contractors.
18. Quản lý nhân sự / Personnel management
19. Bảo đảm tất cả các nhân viên mới vào đều được giới thiệu và ra mắt một cách chính thức tại văn phòng / Ensure all new employees will officially be welcomed and attend company’s orientation.
20. Xây dựng kế hoạch phát triển cho bản thân và cho nhân viên hàng năm / Build up personal development plan with employees annually.
21. Tuyển dụng và liên tục đào tạo nhân viên cũng như tạo điều điện phát triển cho từng nhân viên / Recruit, train as well as give each staff chances to develop themselves.
22. Thực hiện đánh giá năng lực cho nhân viên tối thiểu 02 lần/năm / Conduct a minimum of 2 performance appraisals per year for all staffs.
23. Đảm báo nhân viên luôn tuân thủ các quy chuẩn về đạo đức và các quy tắc ứng xử của Savills / Ensure all employees always maintain work ethics and obey to company’s code of conduct.
24. Đảm bảo tuân thủ các chính sách dành cho nhân viên của Savills / Ensure Savills Group Policies for employee are adhered to.
25. Nghiệp vụ kế toán / Accounting and Financial service
26. Kiểm soát nghiêm ngặt các chi phí liên quan đến tài sản và sử dụng hiệu quả tối đa ngân sách, nhằm đảm bảo không chi vượt ngân sách đã được phê duyệt / Strictly control all expenses related to property and effectively utilize budget to avoid overspending.
27. Giám sát quá trình thu chi các khoản phí quản lý cũng như các khoản phí khác cho Chủ đầu tư thu từ Cư dân, giám sát quá trình xuất hóa đơn cho khách / Supervise the payment process of management fee as well as other fees (from residents to developer) and the process of issuing invoices.
28. Lưu trữ tất cả các hồ sơ liên quan đến quá trình thu chi và các tài khoản liên quan đến quá trình quản lý và vận hành của tòa nhà đang quản lý / Record all documents related to payment process and all accounts related to management process of current projects.
29. Báo cáo hệ thống / System report
30. Báo cáo tài chính: chi tiết các khoản thu chi, báo cáo việc thu hồi nợ xấu, báo cáo tài chính và đưa ra ý kiến cố vấn cho Chủ đầu tư / Financial report: details of payments, bad debt repossess and consultancy for developer.
31. Báo cáo hoạt động hàng tháng: báo cáo quá trình vận hành, đưa ra các kiến nghị cho việc trang trí, cải thiện (nếu có) / Monthly Operations report: operations management of the property, recommendations for redecoration, improvements, etc. (if any).

YÊU CẦU/ REQUIREMENTS:

• Tốt nghiệp Cao đẳng hoặc Đại học chuyên ngành Quản trị kinh doanh, Quản trị khách sạn hoặc các lĩnh vực liên quan / Graduate from College or University majoring in Business Administration, Hospitality or a related field.
• Hiểu biết mạnh về hoạt động quản lý bất động sản. Nhiều kinh nghiệm sâu sắc trong quản lý khách sạn và tòa nhà là một lợi thế / Deep understanding in property management, especially experiences in hotel and building management is preferred.
• Kiến thức về Quản trị kinh doanh / Knowledge about business management.
• Mạnh về kỹ năng ứng xử, đàm phán và giao tiếp, để giao tiếp với đồng nghiệp, khách hàng và các bên liên quan khác / Strong interpersonal, negotiation and communication skills, for liaising with colleagues, customers and other stakeholders.
• Khả năng làm việc với các nguồn Công nghệ thông tin như cơ sở dữ liệu và bảng tính để thu thập và quản lý thông tin / The ability to work with IT resources such as databases and spreadsheets for the collection and management of information.
• Ít nhất 5 năm kinh nghiệm trong lĩnh vực liên quan / At least 5 years experience in related field.
• Kỹ năng giao tiếp, ứng xử và các kỹ năng viết / Excellent communication, interpersonal and writing skills.
• Chủ động, có năng lực, linh hoạt và sẵn sàng học hỏi / Proactive, competent, flexible and willing to learn.
• Kỹ năng tổ chức và quản lý thời gian tốt với khả năng làm việc đa nhiệm / Excellent organizational and time management skills with the ability to multi-task.
• Trình độ học vấn, để viết báo cáo và thuyết trình / Good at writing reports and presentation.
