The Group Sales Coordinator manages inbound sales inquiries for birthday parties, field trips, and venue rentals using the Altru system. They also assist the Sales Manager in executing outbound sales strategies to meet revenue goals.
Candidates must have a high school diploma or GED, with experience in customer service or hospitality preferred. Proficiency in Microsoft Office and database management software is required, along with strong communication and organizational skills.
Reporting to the Marketing and Sales Manager, the Group Sales Coordinator is responsible for managing and servicing inbound group sales products such as birthday parties, field trips, and venue rentals using the Altru system. The Group Sales Coordinator will also assist the Sales Manager in the development and execution of outbound sales strategies to increase leads and achieve monthly revenue goals. Included in this role is general customer service responsiveness to phone and email inquiries.
1. Manage group sales phone call/email inquiries. Monitor the voice mail messages and group sales emails received and respond/follow up within two business days.
2. Manage incoming group sales, including but not limited to:
a. Promptly respond and follow-up on birthday party sales, field trip inquiries, and venue rentals
b. Schedule reservations and events through management software (Altru)
c. Mail brochures and contracts to clients, complete contracts, follow-up on payments, guest lists and event details
3. Assist the Sales Manager in the development and execution of outbound sales strategies to increase leads and achieve monthly revenue goals
4. None
5. Attend monthly, quarterly and annual museum trainings and meeting, as needed
6. Perform other duties and special projects, as assigned
1. HS Diploma/GED or equivalent work experience in customer service, hospitality, or a related field
2. Experience in a non-profit or museum setting is preferred
1. Strong attention to detail skills with the ability to quickly and accurately enter data
2. Exceptional customer service and conflict resolution abilities
3. Proficiency in Microsoft Office Suite and familiarity with POS or database management systems (Altru/Blackbaud preferred)
4. Strong verbal and written communication skills
5. Ability to maintain confidentiality and exercise discretion in handling customer data
1. Must have flexibility in work schedule, including weekends and occasional evenings
2. Valid driver’s license, own vehicle and good driving record

Kohl Children’s Museum of Greater Chicago has long been recognized nationally as a model for its integration of play and learning within a fun environment and one that encourages curiosity, creativity and self-discovery. After 20 years at its original home in Wilmette, the Museum opened a new, $18.1 million Silver-level LEED (Leaders in Energy and Environmental Design) facility in Glenview in October 2005. More than 330,000 children, their families, caregivers and educators visit the Museum’s 17 hands-on, interactive exhibits each year to direct their own play and learning experiences in a safe, intimate environment. All exhibits and programming align to the State of Illinois Learning Standards for children up to 3rd grade, and adhere to the principles of universal design, welcoming guests with any level of physical, cognitive, and social-emotional ability. The Museum also conducts numerous outreach activities, including its flagship Early Childhood Connections program, providing professional development for teachers and childcare providers along with free field trips for classrooms in low-income neighborhoods and children who are risk of academic failure. Everyone at Play, which opens the Museum exclusively for families with children with special needs, is a program offered several times during the year.
