About the Position:

The Office Specialist I at the Bureau of Motor Vehicles (BMV) is part of a twelve-member team that receives calls and assists with registrations. Provides administrative and customer service support within the Bureau of Motor Vehicles’, State Agencies, Municipalities and Secretary of States office.

Responsibilities include processing reviewing and verifying electronic documents, collecting and reconciling reports, updating registration records, and preparing reports, letters, and memos. The role is detail-oriented, time-sensitive, and requires strong computer skills, as well as learning and applying Title 29-A laws, policies, and procedures. Independent decision-making is essential. Additional duties may be assigned by the unit supervisor.

This position also involves regular communication with municipalities, state agencies and Secretary of States office by email and phone. Success in this position requires strong attention to detail and problem-solving skills, as well as the ability to work quickly and multi-task to process a high volume of work accurately. The ability to focus, work well with others, and adapt to shifts in processes and priorities is also needed in this role.

In this role, you will:

• Respond to written, telephone, and in-person customer inquiries
• Collect, validate, and reconcile revenue
• Process registrations, vanity plates, disability applications, and related transactions
• Maintain and respond to BMV Municipal inbox requests via Outlook
• Verify, enter, and update computer records
• Identify and resolve issues, including quality control concerns
• Review and verify registration documents
• Create reports, letters, memos, and newsletters
• Organize and maintain electronic and manual filing systems
• Operate standard office equipment (printers, copiers, fax machines, validators, adding machines, document counters, cash machines)
• Update and maintain training materials
• Instruct, guide, and advise the public in the laws, rules, regulations, and procedures relating to the Address Confidentiality Program (ACP), Title 5 state registrations, municipality registrations, veterans' registrations along with legislative inquiries concerning those and other areas.
• Independently process credentials and associated documents for ACP program in order to comply with program requirements and ensure the safety and confidentiality of the registrant.
• Act as the Vehicle Services liaison with the Secretary of State’s office regarding constituent requests or concerns and fulfill those requests when needed.
• Act as the Vehicle Services liaison with legislator’s and their staff on matters of their concern.

MINIMUM QUALIFICATIONS:

(Entry level knowledges, skills, and/or abilities may be acquired through, BUT ARE NOT LIMITED TO the following coursework/training and/or experience.)

Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I and Office Associate II.
